Activities

The intern is required to develop the experience and contribute on the following based on the support/advise provided by the reporting manager:
  • Communicate/ Respond to customer inquiries/messages.
  • Handle order data entry in SAP, invoicing and prepare customs documents within or outside Letters of Credit.
  • Support the Sales Team by providing supporting docs such as Invoice printing, signed delivery notes and LPO copy, etc.
  • Liaise with Logistics for delivery planning (Confirmed and insertion orders).
  • Work on timely update of VAT records & Compliance documentations.
  • Plan, organize & coordinate shipments for the assigned territories for timely loading & shipments.
  • Coordinate with internal departments.
  • Liaise with banks, shipping agents, inspectors, and customer nominated transporters.
  • Willing to take additional tasks during the absence of a team member.
  • Housekeeping of the old orders in SAP and updating the Sales Order dates (confirmation/ delivery dates).
  • Ensure the SOPs for customers within the customer service department are updated.

Accountabilities

  • Ensure that the company satisfies its customers' needs.
  • Build a good relationship with CSE team and the customers through effective communication.
  • Take an active role (where advised) in wider cross-organizational activities/projects.
  • Strict adherence and compliance towards Group HSE Charter & MAESTR requirements and affiliate’s HSSEQ Policy, Procedures & specific rules & regulations applicable to the area of activity at all times.
  • Demonstrate exemplary conduct, rigor, vigilance, and professionalism regarding HSE in all activities.
  • Ensure full adherence to the company’s compliance program, its policies and procedures including economic sanctions and export control in all professional activities.
  • Promptly notify the compliance officer/economic sanctions referent of any instances of noncompliance or violations of economic sanctions or export control that come to attention.

Candidate Profile

Knowledge:
  • Good knowledge of the market and the customers, industry techniques/methods.
  • VAT and customs requirements.
  • Letters of Credits and export documentation.
  • INCOTERMS 2020 is an advantage.
  • Marine Lubricants and Documentation is an advantage.
  • Knowledge of the product range (added advantage).
  • SAP.
Skills:
  • Sound interpersonal communication.
  • Able to develop analysis, problem solving, and conflict resolution skills.
  • Proficiency in software (Excel, Word, PowerPoint, and PDF writer).
  • English language proficiency and Arabic language a must.
Experience:
  • Fresh graduates with some internship experience will be an added advantage.
Education:
  • Minimum Bachelor’s degree in any specialization.
