Job Summary: We are seeking a highly organised and experienced Property Specialist to join our dynamic real estate team. This vital role involves managing property portfolios, ensuring their smooth daily operations and efficient management. The ideal candidate will possess a strong background in property management, excellent communication skills, and a proactive approach to problem-solving. Responsibilities

  1. Lease Administration
    • Fully manage lease administration, including maintaining and updating lease records, tenant files, and property documentation.
    • Prepare and handle lease agreements, amendments, and renewal documents.
    • Track and manage key lease dates (e.g., renewals, expirations, rent escalations) and notify stakeholders of important deadlines without line manager involvement in routine cases.
    • Oversee the issuance and distribution of renewal letters and tenant contracts, assisting in finalising the renewal process.
    • Manage the screening and verification process for new applications, ensuring compliance with RERA and local rental laws.
    • Serve as the first and primary point of contact for tenants, addressing all inquiries and coordinating responses to maintenance requests independently.
    • Handle all tenants move-ins/move-outs, including walk-throughs and documenting conditions.
    • Distribute tenant communications such as notices, policies, and newsletters, ensuring tenants are informed proactively.
  2. Financial and Reporting Support:
    • Preparing monthly financial reports, budget tracking, and expense reconciliation. Monitor the financial health of the properties autonomously.
    • Handle all accounts payable/receivable functions, including processing invoices and rent payments. Address discrepancies before escalating.
    • Generate and prepare all reports related to property operations, occupancy, and lease status. Assist in analysing data for trends and recommendations.
  3. Property Maintenance Coordination
    • Oversee maintenance requests and coordinate with maintenance staff or contractors to ensure timely resolution.
    • Conduct regular property inspections to assess maintenance needs and ensure compliance with local, state, and federal regulations.
    • Coordinate with service providers to ensure timely receipt of quotations, completion of maintenance requests, and scheduling inspections, repairs and services autonomously.
    • Maintain a detailed record of work orders and follow up on completion independently. Escalate only major vendor or facility issues. Handle service agreements within defined thresholds and assist with vendor negotiations for ongoing services.
  4. Administration Support:
    • Maintain property management software and databases, ensuring up-to-date and accurate records. Automate routine administrative tasks using software tools where possible.
    • Prepare meeting agendas, minutes, and other documentation as needed for property management meetings with limited guidance.
    • Assist with procurement and vendor management by handling contracts, work orders, and payment processing independently for regular contracts and suppliers.
Qualifications:
  • Bachelor's degree in Business Administration, Real Estate, Property Management, or a related field.
  • Minimum of 3 years of experience in property management or a similar role.
  • Strong knowledge of property management software and financial reporting tools (e.g., Yardi, AppFolio, etc.).
  • Detail-oriented with strong organizational skills and a proactive approach to problem-solving.
  • Knowledge of local property laws and regulations.
  • Excellent communication skills, both written and verbal, with the ability to present findings clearly to various audiences.
  • Strong project management skills with the ability to manage multiple projects and deadlines effectively.
  • Knowledge of commercial real estate market dynamics and trends is a plus.
