Role - Executive - Operations and Documentation (Dubai) Who we are House of Shipping provides business consultancy and advisory services for Shipping & Logistics companies. House of Shipping's commitment to their customers begins with developing an understanding of their business fundamentals. Currently, House of Shipping is recruiting for an Executive - Operations and Documentation on behalf of one of its clients in Dubai. Job purpose The Executive – OPS & DOCS is responsible for efficiently managing the Delivery Order (D.O.) counter, ensuring timely manifest submissions, coordinating with ports, issuing delivery orders, and performing other essential documentation and operational tasks. This role is vital in maintaining seamless operations and delivering exceptional service to customers while ensuring compliance with company policies and regulatory requirements. Main tasks and responsibilities Operational Tasks:

  1. Manage the Delivery Order (D.O.) counter operations, ensuring smooth and efficient processing.
  2. Submit manifests to the port accurately and on time.
  3. Follow up with port authorities regarding vessel status, container movements, and other documentation needs.
  4. Issue Delivery Orders after verifying the Bill of Lading (BL) status and processing payments.
  5. Handle customs clearance processes when required.
Documentation and System Management:
  1. Update the Enterprise Resource Planning (ERP) system, ensuring accurate and timely data entry.
  2. Update manifests at least 10 hours before vessel arrival.
  3. Send cargo arrival notifications to clients 48 hours before vessel arrival.
  4. Prepare and send draft BLs to clients and finalize BLs as required.
  5. File Export General Manifests (EGM) on Dubai Trade.
  6. Issue Switch BLs and manage empty acceptance documentation.
Customer and Stakeholder Engagement:
  1. Address customer inquiries and resolve complaints promptly.
  2. Manage daily cash and cheque collections at the DO counter.
  3. Coordinate with external stakeholders such as customers, vendors, banks, and ports.
  4. Collaborate with internal departments, including Finance, HR & Admin, Operations, Commercial, and Sales.
Process Monitoring and Compliance:
  1. Monitor the successful execution of customer shipments proactively.
  2. Update container movements in the ERP system.
  3. Send TDR (Terminal Departure Report) to the destination office.
  4. Ensure compliance with legal, customs, and immigration requirements.
Background and experience
  1. Minimum of 4 years of experience in an agency shipping environment.
  2. In-depth knowledge of:
  • Container movement and trade lanes.
  • Port operations and procedures.
  • Terminal operating systems and vessel services.
  • Customs and immigration activities, pricing, and legal requirements.
Competencies and Skills
  1. Strong time management and organizational abilities.
  2. Analytical, numerical, and problem-solving skills, especially under pressure and tight deadlines.
  3. Proficiency in ERP systems, shipping software, and MS Office (Excel).
  4. Excellent communication skills in English (fluent).
  5. High attention to detail and accuracy.
  6. Ability to work collaboratively in a team environment.
  7. Customer-focused mindset with a proactive approach to problem-solving.
  8. Strong work ethic and accountability.
