Job Description

A Facilities engineer with experience in dealing with Owner Association Management companies either within the OA or as a contracted service provider. The summarised responsibilities would be:

Understand the maintenance requirements of all facility assets and ensure compliance.

Revise and adjust proposed schedules, dates and PPM activities.

Communicate with service providers to ensure that all contractual obligations are met.

Monitor and supervise service provider KPIs and SLAs.

Perform routine inspection on all common area assets and point out all observed irregularities.

Report all findings from inspections in a well-presented manner.

Utilise the CAFM system and monitor it 3 times a day.

Responsibilities

Supervision and Team Management:

Revise the proposed maintenance schedules and activities and request the necessary adjustments to comply with maintenance standards and authority requirements.

Manage service providers, including hiring, training, scheduling, and performance evaluations.

Delegate tasks and responsibilities to service providers and ensure their adherence to policies and procedures of Authorities and community governance.

Ensure complete coordination with all service providers.

Check the premises regularly to ensure security.

Record and report emergencies.

Supervise the janitorial staff and other workers.

Hire contractors for equipment installation and repairs.

Evaluate existing systems.

Identify technical problems.

Oversee waste management, garbage collection, product delivery, and other operations.

Carry out inspections of the facility.

Perform administrative or custodial tasks as needed.

Document lost and found items.

Perform random checks.

Develop and maintain relationships with vendors and suppliers to ensure timely and cost-effective delivery of services and materials.

Facility Maintenance and Repairs:

Develop and implement a comprehensive preventative maintenance program for all facility systems and equipment.

Coordinate and oversee maintenance and repair activities, ensuring prompt resolution of facility-related issues.

Manage contractors and service providers to perform maintenance, repairs, and improvements as needed.

Safety and Compliance:

Ensure compliance with all applicable authority regulations, safety regulations, building codes, and environmental standards.

Develop and implement safety protocols and emergency response plans, conducting regular safety inspections and drills.

Keep updated with relevant laws and regulations to ensure the facility remains in compliance.

Budget Management:

Monitor property budget and report monthly payables and invoice reports.

Identify cost-saving opportunities while maintaining high standards of quality and safety.

Record Keeping and Reporting:

Maintain accurate and up-to-date records of maintenance activities, repairs, and facility-related expenses using the CAFM system.

Generate regular reports on facility performance, maintenance activities, and budget adherence.

Qualifications

Educational Background:

A high school diploma or equivalent is enough with good writing skills in English and knowledge in Excel and Power Point.

A minimum of 2 to 5 years of experience in document management, archive management, or records management.

Experience in reviewing technical documents and the ability to identify errors is a very important addition.

High proficiency in English, both oral and written.

Familiarity with document control systems and referencing all folder calendars in Excel or other applicable software.

Strong organizational skills and attention to detail.

Ability to work independently and as part of a team.

Good communication skills to act as a helpdesk for project engineers regarding documentation matters.
