We are seeking a detail-oriented and strategic Procurement Specialist to join our team. The ideal candidate will be responsible for sourcing raw materials specifically for wet wipes production, negotiating contracts, and ensuring timely delivery of supplies to support our manufacturing processes. This role is critical to maintaining the quality and efficiency of our operations.

Purchasing:

  1. Source and purchase raw materials for wet wipes, including non-woven fabric, packaging materials, etc.
  2. Purchase packing materials, machine parts, stationary, and diesel.
  3. Obtain quotations, analyze previous prices, check current stock levels, and assess quantity requirements to proceed with purchase orders.
  4. Collaborate with relevant departments to gather specifications for new projects and complete necessary forms.
  5. Collect forecasts from sales and production teams to align procurement with demand.
  6. Provide pricing information to the accounts department for cost analysis.
  7. Justify all purchases with appropriate documentation.
  8. Maintain an organized purchase order file.

Order Management:

  1. Prepare and issue purchase orders (PO) to suppliers upon approval of price and quality.
  2. Follow up on POs, check samples for new items, and ensure timely delivery.
  3. Complete supplier selection forms and conduct annual evaluations, maintaining proper documentation.
  4. Identify and establish relationships with reliable suppliers based on quality, delivery, payment terms, and communication responsiveness.

Quality Control:

  1. Address quality control rejections by discussing issues with the team and suppliers for returns or replacements.
  2. Maintain records of invoices, ensuring they are verified before payments and signed off by management. Address any discrepancies prior to payment.
  3. Foster healthy professional relationships with suppliers to ensure timely execution of work.
  4. Manage annual maintenance contracts (AMC) for stackers, CCTV systems, vehicle insurance, and trade name renewals.

Risk and Cost Management:

  1. Conduct vendor selection and contract management to mitigate risks and manage costs effectively.
  2. Oversee inventory management to optimize stock levels and reduce excess.

Desired Candidate Profile:

  1. Bachelor’s degree in Supply Chain Management, Business Administration, or a related field.
  2. Proven experience in procurement, preferably in the manufacturing or consumer goods industry.
  3. Familiarity with raw materials used in wet wipes production is highly desirable.
  4. Strong negotiation skills and experience in contract management.
  5. Excellent analytical skills with the ability to assess supplier performance and market conditions.
  6. Proficient in procurement software and Microsoft Office Suite.
  7. Strong communication and interpersonal skills.
  8. Ability to work independently and as part of a team.
