Logistics Assistant JOB DESCRIPTION

Summary Profile:

Delivery & Documentation for sales of steel products and related goods with a proactive and action-oriented manner. Front office work, including monitoring payment from customers and credit status.

Key Responsibilities:

Perform safe delivery & documentation for export, import and offshore transactions within the boundaries of internationally accepted rules and regulations.

Communicate with clients and suppliers to ensure contractual commitments are fulfilled.

Coordinate with logistics companies to ensure timely deliveries to meet customers' needs.

Check and create the following documents in a clean, concise and prompt manner:



Shipping documents (Invoice, bill of lading, insurance certificate, inspection certificate, etc.)

Contracts and other documents appropriate, fully utilizing internal systems and business support services of the Company's back office support structures.

In conjunction with front sales staff, perform front office work as appropriate. This includes monitoring payment from customers and the credit worthiness and status of company's credit lines for sales and purchases, along with relevant reporting to corporate divisions.

Support front sales staff and/or department GM, undertaking necessary work for department business. This includes booking/reservation, checking accounting ledgers, managing general affairs, etc.

Relationships:

Steel products suppliers/customers, logistics/insurance companies, agents/consultants, etc.

Counterpart staff in overseas units and subsidiaries/affiliates.

Other various members in Iron & Steel Products Business Unit and relevant corporate divisions such as Legal, Finance, Accounting, Corporate Admin, Risk Management, etc.

PERSON SPECIFICATION

Skills / Knowledge:

Good communications skills. Fluency in written and spoken English is essential; Hindi language skills advantageous, but not essential.

Good teamwork skills i.e., effectively interacting with colleagues to manage the total team workload while having the ability to work independently.

Good numerical and analytical skills.

Working knowledge of INCOTERMS.

Advanced command of MS Office including Word, Excel, Outlook and PowerPoint, etc.

Well-organized with the ability to prioritize and use their initiative, able to shift priorities within strict timeframes.

Knowledge of overall trade transactions, credit management, finance/accounting, logistics, and practical legal affairs.

A bright professional with a flexible approach who enjoys a demanding office environment and works well under pressure.

Experience:

A minimum of three years' experience of logistics and inventory management, ideally in the Oil & gas industry.

Demonstrable experience of managing Purchase Orders and Invoicing.

Proven ability to manage long-term contracts involving multiple manufacturers and freight forwarders.

A working knowledge of preparing L/Cs and negotiable documents will be a major advantage.

Education:

Undergraduate degree is desirable, but not essential.
