Job Title: Assistant Director of Banquet

Summary: The Assistant Director of Banquet plays a crucial role in the planning, coordination, and execution of banquet events within the organization. Working closely with the Director of Banquet, this position ensures that all banquet functions meet or exceed client expectations while maintaining high standards of service, efficiency, and profitability. The Assistant Director of Banquet oversees various aspects of banquet operations, including staff management, event coordination, and customer relations.

Responsibilities:

Event Planning and Coordination:

Collaborate with the Director of Banquet to plan and organize banquet events, including weddings, corporate meetings, conferences, and other special occasions.

Coordinate with clients to understand their specific requirements and preferences, ensuring that all details are accurately captured and executed.

Create event timelines, floor plans, and seating arrangements to optimize space and resources.

Arrange for necessary equipment, decorations, and special requests as per client specifications.

Staff Management and Training:

Supervise banquet staff, including servers, bartenders, and setup crews, ensuring adherence to standard operating procedures and service protocols.

Conduct training sessions to educate staff on proper banquet service techniques, customer interaction, and safety procedures.

Schedule and delegate tasks to ensure adequate staffing levels for each event, adjusting as necessary to meet demand.

Customer Relations:

Serve as a primary point of contact for clients, addressing inquiries, resolving issues, and providing exceptional customer service throughout the planning process and during events.

Proactively anticipate client needs and preferences, offering personalized recommendations and solutions to enhance their banquet experience.

Solicit feedback from clients post-event and use insights to continuously improve service quality and exceed expectations.

Financial Management:

Assist in budget development and cost control measures to maximize profitability while delivering exceptional value to clients.

Monitor inventory levels of banquet supplies, linens, and equipment, ensuring adequate stock levels and minimizing waste.

Review event invoices and reconcile expenses to ensure accuracy and adherence to budgetary guidelines.

Quality Assurance and Compliance:

Maintain high standards of cleanliness, organization, and presentation in banquet facilities, adhering to health and safety regulations.

Conduct regular inspections of banquet spaces, equipment, and facilities to identify and address any maintenance or operational issues promptly.

Ensure compliance with all applicable laws, regulations, and company policies related to alcohol service, food handling, and sanitation.

Collaboration and Communication:

Foster positive working relationships with internal departments, including catering, culinary, sales, and facilities management, to ensure seamless coordination and execution of banquet events.

Communicate effectively with all stakeholders, including clients, vendors, and staff, to convey expectations, provide updates, and address concerns promptly.

Requirements:

Bachelor's degree in Hospitality Management, Event Planning, or related field preferred.

Proven experience in banquet operations, with at least 2-3 years in a supervisory or managerial role.

Strong leadership and interpersonal skills, with the ability to motivate and inspire a diverse team.

Excellent organizational and multitasking abilities, with meticulous attention to detail.

Exceptional customer service orientation, with a focus on exceeding client expectations.

Proficiency in event planning software, Microsoft Office suite, and other relevant technology.

Flexibility to work evenings, weekends, and holidays as needed to accommodate event schedules.

Certification in food safety and alcohol service (e.g., ServSafe, TIPS) is preferred.

Knowledge of industry trends, best practices, and regulatory requirements related to banquet operations.
