Operation Assistant

Job Title: Logistics Coordinator Receive notifications and inquiries from customers. Coordinate with pricing and sales teams for quotations and obtain rate confirmations from customers. Verify necessary details and documents before shipping. Prepare and process import/export documents for clearance. Liaise with the brokerage team regarding documentation requirements and compliance. Open a Job card in efreightsuite system for each transaction. Coordinate shipment modes (air, courier, sea freight, land freight) for export and import shipments. Prepare, check documentation, and send shipment pre-alerts with accurate documents for clearance to destination country, consignee, and partner agents. Track shipments and update the import, export, and clearance departments on shipment statuses. Update the consignee on shipment status. Ensure customs files are updated with declared shipment details and original documents (Invoice, PL, DA, BOE) are forwarded to the brokerage team. Track all daily import/export shipments. Handle delays efficiently and address customer inquiries or complaints professionally. Gather support documents and expenses related to jobs and costing. Update Job cards with required details for accurate reporting in efreightsuite system. Keep records of each shipment’s Proof of Delivery (POD) for future reference. Desired Candidate Profile Bachelor’s degree or equivalent. 1-2 years of experience in a similar role. Attention to detail, accuracy, ability to work under pressure, and meet deadlines. Effective verbal and written communication skills. Critical thinking and interpersonal skills. Time management skills; ability to handle multiple tasks. Proficient in MS Excel, Word, Power Point; IT skills are an advantage. Good attitude, able to work independently and in a team.
