The Office Service Specialist supervises and coordinates office service activities related to the management of equipment and facilities for the UAE. The responsibilities include: Overall maintenance of all facilities, focusing on staff accommodation, ensuring compliance with policies, laws, regulations, and standards. Forecasting additional equipment requirements. Ensuring all bills for lease, utilities, and services are paid promptly, in collaboration with the finance team. Informing employees living in facilities about rules and safety precautions. Managing Accommodation Officers and optimizing facilities (offices, warehouses, accommodation) with timely lease renewals. Managing office supplies, equipment, and inventory within budget. Liaising with managers to ensure office administration aligns with business needs. Selecting and managing relationships with external suppliers to ensure satisfactory service standards. Managing travel arrangements and bookings. Managing the vehicle fleet and fuel usage. Handling invoice reconciliation, cost booking, raising purchase requisitions, and monitoring goods receipts. Professional Requirements Bachelor’s degree in a relevant field. Relevant experience of 4-6 years. Cost-consciousness and basic understanding of financial reporting. Knowledge of office administration and management. Strong familiarity with facility service providers in the UAE. Proficiency in Microsoft Excel; SAP experience is a strong advantage. Experience with invoice management processes. Fluency in English.
