Import/Export Documentation Clerk
Description
We are seeking a detail-oriented and proactive Import/Export Documentation Clerk to manage and coordinate all documentation related to international shipments in compliance with UAE and international trade regulations. The ideal candidate will ensure that all import and export documentation is accurate, timely, and aligned with internal and external requirements, supporting the smooth flow of goods in and out of the company. Key Responsibilities: Customs clearance, export shipments, certificate of origin (COO) applications, and document attestation (COO & Commercial Invoice). Ensure compliance with UAE customs regulations, port authority requirements, and international trade laws. Liaise with freight forwarders, shipping lines, customs brokers, and government authorities to facilitate timely clearance and delivery of shipments. Coordinate with procurement, production, and logistics departments to plan and track shipments. Maintain accurate records of import/export transactions, documentation, and related correspondence. Monitor shipments to ensure timely dispatch, clearance, and receipt. Handle documentation for letter of credit (LC) transactions and ensure all terms are fulfilled. Assist in obtaining required permits, approvals, and licenses for import/export activities. Resolve any issues or discrepancies related to documentation, customs clearance, or freight. Stay up-to-date with changes in import/export regulations and advise management accordingly. Work with forwarders/agents for material movement, freight inquiries, and shipment tracking. Ensure timely delivery, track incoming materials, and provide estimated arrival/departure dates. Coordinate with sales, customer support, accounts, and other departments to address discrepancies. Update logistics manager on outstanding/new shipments and coordinate with agents for import/export clearance. Work with customs and other authorities for permits and document processing. Qualifications & Requirements: Bachelor's/Master’s degree in Business Administration, Logistics, International Trade, or a related field. Minimum 4 years of experience in import/export documentation within a manufacturing or trading company, preferably in the UAE. Strong knowledge of UAE customs procedures, INCOTERMS, and international shipping documentation. Proficiency in MS Office and ERP systems (SAP/Oracle is an advantage). Excellent organizational skills and attention to detail. Strong communication and coordination abilities. Ability to multitask and work under pressure in a fast-paced environment. Preferred: Familiarity with GCC regulations and free zone operations. Experience handling documentation for sea, air, and land freight.
