We are looking for a qualified and experienced Administrator who will undertake administrative tasks, ensuring the rest of the employees has adequate support to work efficiently. The tasks of the administrator will include bookkeeping, mentoring office assistants, monitoring driver duties, etc. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. Follows the major duties & responsibilities involved in this position. JOB RESPONSIBILITIES Welcome all visitors to the premises by greeting and assisting them appropriately to the concerned personnel or seating area, offering refreshments as needed. Monitor and ensure customers are comfortable throughout their time in our showroom/premises. Answer all phone calls received at the reception, understand the purpose of each call, and if required, forward it to the right person immediately while recording the information in the system. Review the generic email inbox daily and respond as required. Disseminate emails to the correct department or concerned personnel to carry communication forward. Analyse and highlight issues that are not in line with customer service and hospitality to fix them. Ensure the use of the log book for employees that are customer-facing, excluding the managers. Monitor and audit the opening and closing of the premises to ensure it is safely and timely carried out. Organize the work schedule of Office Assistants/Cleaners ensuring the showroom timings are covered. Assign duties and conduct random inspections to ensure work efficiency and provide adequate training as required to Office Assistants/Cleaners. Monitor the work schedule of Drivers in coordination with related departments to ensure work efficiency. Act as the point of contact between Senior Management, internal departments, and showroom employees. Organize periodic meetings as advised by Senior Management and manage the minutes of the meeting. Ensure to monitor company vehicles for timely renewal, maintenance, servicing, etc. Ensure periodic maintenance of the Company premises in coordination with the Maintenance team and external vendors & property management. Assign any new customer walk-ins to the Sales team as per the rotation process and provide a daily customer walk-in report. Manage and monitor the organization's internal and external contract documents (e.g., pest control, firefighting, wastewater management, security) and ensure timely renewals. Audit existing contracts with suppliers and choose better options for the company in terms of quality and cost-effectiveness. Efficiently procure required items under the supplies for the respective Company. Regularly inspect the workplace to ensure the safety of the employee working environment. Monitor employee attendance, tardiness, and dress code policy compliance daily and report to the HR Department. Coordinate to collect couriers from PO Box and dispatch them to appropriate personnel weekly. Ensure acknowledgement letters are prepared for all company items issued to employees and maintain a proper filing system that is always ready and up-to-date for submission. Monitor employee birthdays, create birthday greetings, and timely circulate them on the birthday morning of the celebrant. Contribute to team efforts by accomplishing tasks as needed. JOB REQUIREMENTS Bachelor's degree in a related field. Proven work experience in UAE as an Administrator for a minimum of 4 years. Excellent knowledge of MS Office. Strong written and verbal communication skills. Excellent organizational and leadership skills. Strong analytical and time-management skills. Excellent multitasking and interpersonal abilities.
