What is the role about? Attending all vessels within the scope of responsibility, in compliance with applicable work processes, standards, and procedures, with special attention to correct, accurate, and timely use of the internal operating systems. Role interrelations:

  1. The Ships Agency Operator reports to the Operations Team Leader, Qatar.
  2. Attend and board vessels as required and as directed by Team Leader, in accordance with our SOP and Customer Requirements.
  3. Responsible for the effective coordination of assigned port calls.
  4. Advise on selection of contractors for goods and services provided to principals, including submission of competitive quotations, as required.
  5. Ensure compliance with Port Services processes, standards, and procedures, including correct use of the operating system (WASP).
  6. Ensure mandatory use of WASP as reporting tool in compliance with the SOP.
  7. Ensure proper monitoring of the vessel and attendance to any follow-up enquiries.
  8. Ensure correct amount of pre-funding are received or the correct level of authority has approved any deviation, prior to performing the Port Call.
  9. Establish and maintain vessel’s files and ensure that all transactional systems are updated in real-time.
  10. Ensure proactive, efficient, and timely communication at all times.
  11. Report leads, business opportunities, and relevant port updates observed to Manager.
  12. Monitor and record expenses that arise during vessels’ port call.
  13. Ensure Cash-in-Transit (Cash to Master) as per WPS procedure.
  14. Proactively follow up, check, and approve supplier’s invoices.
  15. Ensure cost-effective Vessel Operations.
  16. Comply with WPS PPE Standard when working in ports/onboard vessels.
  17. QHSSE matters in own function – use of TAKE 5 as appropriate.
  18. Provide input to improve the operational and cost efficiency of the port call.
Role accountabilities: This position will be measured against:
  1. Ensure consistent high level of accuracy of deliverables.
  2. Meet or exceed annual KPI’s targets for Port Services performance.
Our ideal candidate would have:
  1. Graduate with relevant Bachelor’s degree.
  2. Maritime background and experience from Ships Agency Operations specifically in Qatar.
  3. Good communication skills and command of the English language (oral and written).
  4. Process and system understanding.
  5. Self-motivated and result-oriented with the ability to work under pressure.
  6. Proactive and possesses ability to anticipate issues to facilitate preventive measures.
  7. Problem-solving skills with ability to make fast and sound judgement.
  8. Ability to effectively plan & direct an operation without compromising on safety to personnel and vessel.
  9. Familiar with Port & local Authorities regulations, procedures, and governing tariffs.
  10. Computer literate.
