You will also be required to liaison with internal and external stakeholders for smooth business operations.In this role you will:Leadership• Lead and manage the facility management team, providing guidance, support, and mentorship;• Foster a collaborative and high-performance culture within the team.Strategic Sourcing• Develop and implement procurement strategies to ensure cost-effective and efficient sourcing of goods and services.• Ensuring timely conversion of PR to PO to GRN• Market visits for price evaluation & analyzing data by keeping track of market dynamics.• Analysis of alternate products• Liaison with the requisitioner department for forecasted demand• ERP proficientVendor Management• Identify and evaluate potential suppliers, negotiate contracts, and manage vendor relationships to secure favourable terms and pricing.• Ensure adherence to contracts and service level agreements.Facilities Management• Oversee the maintenance and security of office facilities, ensuring a safe and productive work environment.• Managing rental, utility and vendor payments during TAT.• Fleet management• Travel management• Housekeeping• Fit out planning and monitoring. Ensure timely execution of Buildouts and Projects• Laision with govt. authorities and landlords• Arrangement of inhouse and external meetings/events• Implementing Safety and security protocols, safety drills• Ensure timely repair and maintenance of offices, furniture/fixtures, and machines/equipment.• Executing contracts & SLAs wherever requiredBudgeting and Financial Management• Develop and manage budgets for procurement and administrative functions• Implement cost-saving initiatives while maintaining quality standards.Policy & Process Development• Establish and update procurement and administrative policies and procedures to improve efficiency and compliance.• Collaborate with senior management to align procurement and administrative functions with the organization's overall strategic goals.Inventory management• Maintain inventory levels and ensure monthly stock count.• Tracking of assets: Handing over, taking over of assets for new joiners/leavers• Receiving and issuance of material on Excel/company ERP.• Monthly stock count• Bi-annual asset reconciliationReporting and Documentation:• Prepare regular reports on facility performance, maintenance activities, and expenditures;• Maintain accurate documentation and records related to facility management. Desired Candidate Profile• Graduate preferably in Management & Marketing• 7-10 years of work experience as Facilities Manager or similar role• Proficient in ERP and Excel• Excellent knowledge of facility management principles, practices, and regulatory requirements.• Excellent negotiating skills to negotiate the terms of lease agreement with landlord, cost negotiation/rationalisation with potential suppliers.• Strong leadership and people management skills, with the ability to motivate and develop teams.• High communication and influencing skills• Good Analytical and problem-solving skills• Swift and economical Decision-making skills• The ability to lead and manage teams and projects• Work in a highly collaborative manner with internal and external stakeholders to effectively communicate the value proposition.• Professionally represent the Company before brands, partners, and vendors for business development/ procurement.• Attention to detail but also the ability to see the implications for the bigger picture• Commercial awareness• Customer service savviness• Well organised• Organisation, time management, prioritising and the ability to handle a complex, varied workload• High-performing and fast-paced work environment.• Comprehensive Health Insurance• Rewards and recognition• Learning & Development#BayutKSABayut is an equal-opportunity employer.
