Job Title: HR and Admin Assistant Reporting to: Head of HR and Compliance KI MENA Location: GM Kaplan Regional Headquarters - MENA The Role: The HR and Admin Assistant plays a crucial role in coordinating HR activities across the MENA region, ensuring that Kaplan's standards and requirements are consistently met for both employees and stakeholders. This position emphasizes compliance with employment-related laws and regulations. Key Responsibilities:

Regional Oversight of HR Administration:

GRO Management

  • Audit and Recommendations on government portals
  • Portals Access
  • MOL portal
  • Muqeem portal
  • Qiwa portal
  • Mudad portal
  • GOSI portal
  • Audit of HR portals to identify gaps and recommendations on next steps related to making them 100% compliant

General HR

  • Provide weekly reports on changes in employment laws and regulations.
  • Ensure processes and procedures align with KI MENA standards.
  • Proactively escalate issues and delays.
  • Manage the timely renewal of Employment Visas/Iqama, Labour Permits, and other employee-related documents.
  • Add new joiners to medical insurance policies.
  • Handle dependent visa documentation.

Recruitment

  • Evaluate resumes and applications to assess candidates' qualifications, skills, and experience for specific roles.
  • Communicate with candidates, schedule interviews, and provide information about the company and job opportunities.
  • Maintain up-to-date candidate records in the recruitment database.
  • Ensure recruitment processes comply with regional employment laws and regulations.
  • Ensure all new hires are screened for suitability through the KI MENA compliance screening procedures.

Office Administration

  • Oversee administrative support across departments, including handling correspondence, managing schedules, and overseeing office supplies and equipment.
  • Organize and maintain office records, files, and documentation systematically.
Skills and Behaviours: Essential Skills & Behaviours:
  • Must have a Bachelor's degree.
  • Essential language skills in Arabic and English (reading, writing, speaking).
  • Strong organisational skills with a focus on ensuring accurate and compliant information and processes across regions.
  • Excellent communication and interpersonal skills to manage relationships with stakeholders across geographies.
  • Adaptability and flexibility in managing regional and specific demands.
  • Commitment to Kaplan's training objectives, standards, and values.
  • Ability to work in a multicultural, regional context with sensitivity to local differences.
Desired Skills & Behaviours:
  • Experience in HR within the MENA region.
  • Familiarity with labour and immigration laws across multiple countries or regions.
