Responsibilities:

  1. Organizing and coordinating meetings for the General Manager.
  2. Receiving and verifying incoming documents, checking the accuracy of the transmittal notice.
  3. Notifying superiors for the proper identification of the respective internal and external documents.
  4. Updating and maintaining the General Manager’s Calendar.
  5. Compiling and archiving the General Manager’s Reports.
  6. Coordinating with Project Sites for reports and other issues.
  7. Preparing documents for the General Manager’s approval and assisting with day-to-day issues.
  8. Maintaining the incoming and outgoing registers for all documents.
  9. Maintaining/Assisting Diary and Appointments.
Requirements:
  1. Ability to handle a pressurized administrative environment.
  2. Experience managing complex travel and diary arrangements.
  3. Capability to coordinate several tasks at once and meet proposal deadlines.
  4. Excellent coordination and organizational skills.
  5. Proficient in correspondences in English & Russian.
  6. Experience in translating all types of documents in English & Russian.
  7. Managing Chairman & General Counsel emails and responding to all requirements.
  8. Experience dealing with worldwide branches.
  9. Event management experience (meetings, seminars, etc.).
  10. Providing support to company managers for their administrative needs.
  11. Experience with expenses reports for worldwide hotel reservations.
  12. Screening all incoming & outgoing calls.
  13. Dealing with banks for personal & corporate accounts.
  14. Handling rental car arrangements.
  15. Managing the Manager’s leave.
  16. Dealing with government departments.
  17. Assisting the Managers’ wives with some routine duties.
  18. Arranging all kinds of visas for management.
  19. Publishing the corporate newsletter by gathering information, preparing and editing articles, designing graphic presentations, and producing and distributing.
  20. Helping key executives make consistent decisions by advising them of historical precedents and serving as a liaison between them and the president.
  21. Arranging corporate travel and meetings by developing itineraries and agendas, scheduling the corporate jet, booking other transportation, and arranging lodging and meeting accommodations.
  22. Updating job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, and participating in professional organizations.
  23. Distributing and filing various forms and documentation related to public employees' economic interest; submitting and maintaining related forms according to established procedures.
