Responsibilities:
- Organizing and coordinating meetings for the General Manager.
- Receiving and verifying incoming documents, checking the accuracy of the transmittal notice.
- Notifying superiors for the proper identification of the respective internal and external documents.
- Updating and maintaining the General Manager’s Calendar.
- Compiling and archiving the General Manager’s Reports.
- Coordinating with Project Sites for reports and other issues.
- Preparing documents for the General Manager’s approval and assisting with day-to-day issues.
- Maintaining the incoming and outgoing registers for all documents.
- Maintaining/Assisting Diary and Appointments.
- Ability to handle a pressurized administrative environment.
- Experience managing complex travel and diary arrangements.
- Capability to coordinate several tasks at once and meet proposal deadlines.
- Excellent coordination and organizational skills.
- Proficient in correspondences in English & Russian.
- Experience in translating all types of documents in English & Russian.
- Managing Chairman & General Counsel emails and responding to all requirements.
- Experience dealing with worldwide branches.
- Event management experience (meetings, seminars, etc.).
- Providing support to company managers for their administrative needs.
- Experience with expenses reports for worldwide hotel reservations.
- Screening all incoming & outgoing calls.
- Dealing with banks for personal & corporate accounts.
- Handling rental car arrangements.
- Managing the Manager’s leave.
- Dealing with government departments.
- Assisting the Managers’ wives with some routine duties.
- Arranging all kinds of visas for management.
- Publishing the corporate newsletter by gathering information, preparing and editing articles, designing graphic presentations, and producing and distributing.
- Helping key executives make consistent decisions by advising them of historical precedents and serving as a liaison between them and the president.
- Arranging corporate travel and meetings by developing itineraries and agendas, scheduling the corporate jet, booking other transportation, and arranging lodging and meeting accommodations.
- Updating job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, and participating in professional organizations.
- Distributing and filing various forms and documentation related to public employees' economic interest; submitting and maintaining related forms according to established procedures.
