Purchasing Officer will assist the procurement team in ensuring smooth and efficient operations by performing administrative tasks, maintaining documentation, and coordinating with internal and external stakeholders for the global and local sourcing of grains. Job Responsibilities Procurement Administrative Tasks:

  • Prepare and issue accurate Purchase Orders (POs) in line with company SOPs.
  • Maintain organized and complete records for all procurement documentation.
  • Coordinate with suppliers to obtain required documentation, such as invoices, shipping notices, and certificates of origin.
  • Track incoming shipments and update internal systems with delivery timelines.
  • Lead in the preparation and processing of Letters of Credit (LCs) and ensure compliance with banking requirements.
  • Handle the filing and tracking of marine insurance claims for damaged or lost goods.
System and Data Management:
  • Ensure accurate and timely data entry into the SAP ERP system for procurement-related activities.
  • Maintain a clean and updated database for suppliers, purchase orders, and inbound deliveries.
  • Generate reports on procurement performance and outstanding orders as requested.
Supplier and Stakeholder Coordination:
  • Liaise with suppliers to confirm order acceptance, delivery schedules, and documentation requirements.
  • Follow up on shipments from suppliers or origin countries ensuring timelines are tracked closely.
  • Act as the first point of contact for basic supplier queries.
  • Work closely with the warehouse team to ensure accurate goods receipt and resolve discrepancies.
Regulatory Compliance and Documentation:
  • Lead with customs clearance processes by coordinating with banks, shipping companies, and suppliers.
  • Ensure all procurement activities comply with internal policies and relevant regulations.
  • Support the procurement team in audits by providing accurate records and documentation.
Job Requirements:
  • Bachelor's degree in Business Administration, Supply Chain, or a related field.
  • Knowledge of SAP ERP or similar systems preferred.
  • 1–2 years of experience in procurement or administrative support roles. Experience in FMCG or Shipping carrier companies is a plus.
  • Proficient in written and verbal Arabic and English language.
  • Familiarity with international trade practices and basic knowledge of marine insurance processes.
