About the Role As the Executive Assistant to the CEO, you will be the trusted right hand to a visionary and dynamic leader who requires an individual capable of managing complex priorities and navigating challenges with diplomacy, tact, and resourcefulness. Responsibilities
- Administrative and Organizational Tasks
- Calendar Management: Scheduling meetings, appointments, and conferences, often balancing complex time zones and priorities.
- Travel Coordination: Arranging detailed itineraries, booking flights, accommodations, and transportation for domestic and international travel often in different travel zones.
- Email and Communication Management: Screening, organizing, and drafting emails and correspondence on behalf of the executive.
- Strategic and Operational Support
- Meeting Preparation: Preparing agendas, gathering background materials, and taking detailed notes during meetings.
- Project Management: Overseeing special projects, ensuring timelines and deliverables are met.
- Problem Solving: Proactively identifying and resolving operational or logistical challenges. Conducting thorough research to support decision-making and strategic initiatives.
- Interpersonal and Liaison Responsibilities
- Stakeholder Management: Acting as a point of contact between the executive and internal or external stakeholders.
- Team Coordination: Ensuring smooth collaboration between departments and maintaining effective communication across teams.
- Confidentiality and Discretion
- Handling sensitive information with utmost confidentiality, including financial data, contracts, and personal matters.
- Exercising sound judgment and discretion in handling confidential and sensitive matters.
- Research and Analysis
- Conducting research on various topics to inform executive decisions.
- Summarizing reports, news, or industry trends to keep the executive informed.
- Miscellaneous Tasks
- Personal Assistance: Managing personal errands or household matters, such as event planning or managing personal finances.
- Expense Reporting: Tracking expenses, preparing financial reports, and managing reimbursements.
- Tech Support: Assisting with technology, software tools, and troubleshooting as needed.
- Impeccable organizational, time-management, and multitasking skills. Exceptional written and verbal communication abilities, with a professional and personable demeanor.
- Advanced proficiency in Microsoft Office, cloud-based tools, and collaboration platforms like Zoom and social media.
- A proactive, solutions-oriented mindset with the ability to adapt to shifting priorities and solve problems independently.
- Unwavering professionalism and discretion, especially in high-stakes and high-pressure situations.
- Strong interpersonal skills and the ability to liaise with high-profile individuals calmly and confidently.
