We are seeking a detail-oriented and organized Administrative Assistant to provide comprehensive administrative support to ensure the smooth and efficient functioning of our team or department. The ideal candidate is proactive, resourceful, and capable of managing multiple tasks in a fast-paced environment. Key Responsibilities

  1. Administrative Support
    • Manage and maintain schedules, including arranging meetings, appointments, and travel arrangements.
    • Prepare and edit correspondence, reports, presentations, and other documents as required.
    • Handle incoming and outgoing communications, including phone calls, emails, and mail.
  2. Office Coordination
    • Maintain organized and efficient office systems, including filing, record-keeping, and supply inventory.
    • Liaise with internal and external stakeholders to coordinate activities and resolve issues.
    • Assist in the planning and execution of events, meetings, and special projects.
  3. Data Management
    • Input, update, and maintain accurate records in databases or software systems.
    • Compile and analyze data to prepare reports or summaries as needed.
    • Ensure confidentiality and security of sensitive information.
  4. Customer Service
    • Serve as the first point of contact for visitors and inquiries, providing professional and courteous assistance.
    • Address client or team needs promptly and effectively, escalating issues as necessary.
  5. General Support
    • Monitor and manage office supplies, placing orders as needed.
    • Assist with basic financial tasks, such as expense tracking, invoice processing, or budget monitoring.
    • Support team members with ad hoc tasks to facilitate their workflows.
Qualifications and Skills
  1. Education : High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  2. Experience : Proven experience as an administrative assistant, secretary, or similar role; Healthcare Experience is a plus!
  3. Technical Skills : Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management systems and databases.
  4. Communication Skills : Excellent written and verbal communication abilities.
  5. Organizational Skills : Strong attention to detail, time management, and multitasking capabilities.
  6. Interpersonal Skills : Positive attitude, professionalism, and ability to work collaboratively with diverse teams.
