We are a multi-disciplinary engineering design firm with specialized design and value engineering services. The firm's core work is holistic at its approach, and it has divisions in structural, MEP, Geotechnical, and emerging construction technology such as 3D printing of concrete, technology, and 3D laser scanning.Job SummaryAs a People Coordinator, you will play a crucial role in providing administrative support to our human resources and people management functions. Acting as the first point of contact, you will handle correspondence, organize events, manage travel arrangements, conduct research, and assist in various administrative tasks. This position requires strong organizational skills, attention to detail, and the ability to effectively communicate with internal and external stakeholders.Responsibilities:Acting as the First Point of Contact:Manage incoming correspondence, including emails and phone calls.Provide professional and timely responses to inquiries and requests.Event and Conference Organization:Assist in the planning and coordination of company events and conferences.Handle logistical arrangements, such as venue booking, catering, and audiovisual setup.Travel Arrangements:Coordinate travel, transport, and accommodation bookings for employees.Ensure travel itineraries are organized efficiently and within budget constraints.Research Support:Conduct research as required to support various projects and initiatives.Compile and analyze information to assist in decision-making processes.Administrative Support:Prepare reports, presentations, and correspondence as needed.Manage databases and filing systems to ensure accurate record-keeping.Implement and maintain administrative procedures and processes.Stakeholder Liaison:Liaise with internal staff, external suppliers, and clients to facilitate smooth operations.Build and maintain positive relationships with stakeholders at all levels.Expense Management:Collate and file expense reports in accordance with company policies.Ensure accuracy and compliance with expense reimbursement procedures.Ad Hoc Requests:Assist with various ad hoc tasks and projects as assigned by management.Flexibility to handle diverse responsibilities and prioritize workload accordingly.Qualifications and SkillsBachelor's degree in Human Resources, Business Administration, or a related field (preferred).Proven experience in administrative support roles, preferably in a human resources or people management environment.Strong organizational and time management skills, with the ability to multitask and meet deadlines.Excellent communication skills, both verbal and written.Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).Attention to detail and accuracy in all tasks.Ability to maintain confidentiality and handle sensitive information with discretion.Positive attitude, proactive approach, and willingness to learn and adapt in a fast-paced environment.
