Position Overview: We are seeking a highly organized and efficient Personal Assistant to provide comprehensive support to the Manager. This role requires a proactive individual with exceptional communication skills, the ability to multitask, and a keen attention to detail. The Personal Assistant will be responsible for managing the manager's schedule, coordinating administrative tasks, and ensuring smooth day-to-day operations. Key Responsibilities:
  1. Calendar & Schedule Management: Manage the manager’s calendar, scheduling appointments, meetings, and travel. Ensure the manager is well-prepared for meetings and events by organizing agendas, materials, and any necessary follow-ups. Prioritize and rearrange the schedule as necessary to accommodate urgent tasks.
  2. Communication: Act as the primary point of contact between the manager and internal/external stakeholders. Handle phone calls, emails, and other correspondence, ensuring timely responses and proper routing. Prepare and proofread communications on behalf of the manager.
  3. Administrative Support: Organize and maintain filing systems, both digital and physical. Coordinate and manage office supplies and ensure they are stocked appropriately. Prepare reports, presentations, and documents as needed.
  4. Travel and Logistics: Arrange domestic and international travel for the manager, including transportation, accommodation, and itinerary planning. Ensure travel-related documents (flights, itineraries, etc.) are prepared and organized in advance.
  5. Event Planning & Coordination: Assist with the planning and execution of meetings, conferences, and events. Coordinate logistics for events, including venue selection, catering, and guest lists.
  6. Task Management & Prioritization: Help manage the manager's to-do list and ensure tasks are completed on time. Monitor deadlines and provide reminders for upcoming deadlines or important events.
  7. Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality and discretion. Exercise judgment in decision-making and maintain a high level of professionalism.
Qualifications:
  1. Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
  2. Strong organizational and time management skills.
  3. Excellent communication skills, both written and verbal.
  4. Proficiency in Microsoft Office Suite and other office management tools.
  5. Ability to prioritize tasks and work well under pressure.
  6. A proactive, resourceful, and adaptable mindset.
  7. Discretion and confidentiality in handling sensitive information.
Education & Experience:
  1. High school diploma or equivalent required; a degree in business administration or related field is a plus.
  2. At least 2-3 years of experience in an administrative or assistant role.
