Job Description

PROCUREMENT EXECUTIVE (OILS & INGREDIENTS) Profile: The Procurement Executive for Chemicals and Fragrance Oils is responsible for sourcing, purchasing, and managing the procurement process for chemicals and fragrance oils used in manufacturing. This role ensures the company maintains a reliable supply chain, works with trusted suppliers, and adheres to inventory constraints. The Procurement Executive will work closely with internal stakeholders to understand their needs and ensure timely delivery of high-quality products. Products handled - Chemicals, Fragrance oils, Ingredients, Essential oils & other Aroma-chemicals.

Key Responsibilities:

  1. Supplier Management: • Identify and evaluate potential suppliers of chemicals. • Negotiate pricing, terms, and conditions with suppliers. • Maintain strong relationships with existing suppliers and develop new supplier partnerships. • Assess supplier performance based on criteria such as product quality, reliability, delivery times, and compliance with regulations.
  2. Procurement and Order Management: • Place orders for chemicals and fragrance oils in accordance with business requirements, ensuring promptly. • Maintain accurate records of all procurement transactions, including purchase orders, invoices, and technical documents (MSDS, COA, IFRA & Halal Certificates). • Manage stock levels, ensuring adequate inventory without overstocking, while minimizing stock outs.
  3. Cost Management and Budgeting: • Identify opportunities for cost savings through strategic sourcing, vendor negotiations, and process improvements.
  4. Quality Control and Compliance: • Ensure all procured chemicals and fragrance oils meet quality standards and regulatory requirements (e.g., safety, environmental, and industry-specific OR Country Specific standards). • Stay updated on industry regulations and compliance standards related to chemicals and fragrances. • Collaborate with internal teams such as production, R&D, quality control, planning & production and logistics to ensure procurement aligns with production schedules and product requirements. • Provide procurement support for new product development, ensuring the timely acquisition of new materials – Including Samples requests, Technical Documentation/ Information requests, Management of Codes, Samples & Documents.
