Are you ready to take on a challenging role that requires excellent communication and operation management skills?About the jobThis role will be responsible for the efficient and effective operation of the Dubai / Abu Dhabi Hire Desk.Your role as a Hire Desk SpecialistUnderstand and perform all "rental cycle" tasks with the rental desk teams including but not limited to, transport & logistics, telematics monitoring, administration related to hire desk operations, and account release requests with the credit control team.Ensure the timeliness and accuracy of the rental desk team's data and status updates in the Insphire/Netsuite platform and any other agreed data management tools.Manage communication pathways (phone, email, verbal, system) for internal and external machine rental-related requests, following the correct processes to eliminate waste and duplication (defects).Prepare hire agreements and email them to customers.Follow up on hire agreements and LPOs prior to delivery of machines.Ensure rental agreements, delivery notes/collection notes, and LPOs required to enable a machine on/off hire are accurately completed, filed, and updated in the system.Collect "pre-delivery" photographs of the machines and file them in the system.Prepare delivery notes and provide them to the transporter.Prepare a job file against each sales order and file the documents, including delivery note acknowledgments.Actively answer calls from customers, forwarding the information and updating the customer inquiry log.Check customer emails, liaising with commercial and technical staff closely for coordination of each specific job.Schedule IPAF and/or Familiarization requests from Clients or Account Managers as required, filing completed familiarization certificates upon completion of operator familiarization.Occasionally provide additional reporting/KPIs to the operations manager related to rental desk functions as required.Monitor and share appropriate customer damage details with the technical team for the creation of damage advice notes and notification to the customer.Assist the commercial team in achieving targets for rental revenue, new customer creation, timely machine rentals, inquiry generation, and other necessary system documentation.Coordinate and maintain NPS feedback from each customer after completing the rental agreement.Facilitate gathering evidence and records for the Damage Claim process (photos, damage report, advice note, other relevant documents), notify customers and liaise with relevant team members for additional information needed (e.g., drivers, field technicians, 1st checkers, account manager, credit control, etc.).Cold call passive customers to win back/re-activate customer accounts.Your personality makes the differenceLeadership and supervisory skills.Enthusiastic and self-motivated.Team player with excellent communication and people management skills.Negotiation skills.What do you have to offer us?Education: Degree or diploma in engineering or management.Minimum 3 years of experience with at least 1 year in a supervisory role.Skills: Computer literate with proficiency in MS Office.Fluent in English; Hindi will be an advantage.Become part of a dynamic team where you can make a real difference for our customers.
