We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company's CEO & executive -level managers. The Senior Executive Assistant provides support to another individual or group of individuals by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative tasks.  Responsibilities: Directly supports C16 level manager/ CEO and generally supports the entire BCMA department Manages day to day calendar(s) of C16 level manager/CEO  Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls May prepare and review materials and correspondence for meetings, including pre-meeting briefs, minutes of meetings and follow up on action plans Assist with creation/modification of presentations, spreadsheets, and other various documents Conduct desktop research on select topics that may be requested from the C16 level manager Establish and nurture contacts with other Senior Executive Assistants within the firm, and represent the office of the C16 level manager/CEO in the most professional fashion  Providing general administrative support Preparing memos, letters, invoices, statements and other documents Liaising with clients, colleagues and other stakeholders Greeting visitors and clients Track and oversight of business projects Support the CEO & business with arranging dinners, social events and public appearances Supports with Researching new business ventures or projects Coordinates travel arrangements; prepare and distribute schedules/agendas for travel Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system Orders supplies and process invoices through Procure to Pay system Process and follow-up on Virtual Requests Assists in ad-hoc reports special projects as needed Trains, coaches or guides other administrative staff when required Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behaviour, conduct and business practices, and escalating, managing and reporting control issues with transparency. Education: Bachelor's/University degree in relevant field. Previous Experience: Minimum 2 years of work experience as an Executive Assistant, Personal Assistant or similar role Qualifications: Previous office administration experience preferably within a large and complex financial services or similar organization  Fluent in Arabic and English Exceptional organisational and diary management skills Flawless communication and presentation skills, both written and verbal Excellent social manner Consistently demonstrates clear and concise written and verbal communication skills  Highly proficient in Microsoft Office  Demonstrated ability to quickly gain command of new systems Self-motivated, proactive, responsive and diligent The ability to multitask and prioritize an ever-changing workload The ability to work under pressure and reach deadlines Problem-solving and decision-making skills Strong business and commercial acumen Drafting, writing and research skills ------------------------------------------------------ Job Family Group: Business Strategy, Management & Administration ------------------------------------------------------ Job Family: Administrative Support ------------------------------------------------------ Time Type: Full time ------------------------------------------------------
