We are seeking a proactive and highly organized Receptionist/Administration Assistant who will also serve as a Personal Assistant to the Managing Directors. This role requires a professional individual who can manage front-desk operations, provide administrative support, coordinate with office support staff, and handle day-to-day tasks for the MDs.The ideal candidate should demonstrate excellent communication, multitasking, and problem-solving skills.Desired Candidate Profile· Female Candidate· Bachelor's degree or Diploma in Business Administration or related field (preferred).· Proven experience as a Receptionist, Administrative Assistant, or Personal Assistant.· Strong organizational, time management, and multitasking skills.· Excellent communication skills (verbal and written) in English; Arabic is an advantage.· Proficiency in MS Office Suite (Word, Excel, Outlook, Power Point).· Professional appearance, positive attitude, and customer-service orientation.· Ability to handle sensitive information with the highest level of integrity.Key Responsibilities: Reception & Front Office Management: · Greet and welcome visitors in a professional and friendly manner.· Manage incoming calls, emails, and correspondence, ensuring prompt and accurate handling.· Maintain the reception area, ensuring it is always tidy and presentable.· Handle courier services, deliveries, and general inquiries.Administrative Support: · Prepare, maintain, and organize company documents, files, and records.· Assist in scheduling meetings, coordinating conference rooms, and arranging refreshments when required.· Support HR and administrative functions as needed.· Manage office supplies purchase and inventory, ensuring timely replenishment.Personal Assistant to the MDs: · Manage MDs' calendars, including scheduling appointments, meetings, and travel arrangements ( Ticketing, Hotels, etc.).· Prepare meeting agendas, minutes, and relevant documentation.· Handle confidential information with discretion and professionalism.· Provide day-to-day assistance to MDs for both professional and administrative matters.Supervision of Office Support Staff: · Coordinate and oversee the tasks of office boys to ensure cleanliness and smooth day-to-day office operations.· Assign and monitor duties such as serving refreshments, maintaining pantry supplies, and general upkeep of the office.· Ensure adherence to company standards of service and presentation.Reporting Line: Reports directly to the HR.Work Location & Hours: Based at the company's head office.Standard office hours: flexibility may be required for MD support.
