Logistics Coordinator (Industrial Automation)

What are my responsibilities? Assist the Logistics Manager in day-to-day logistics and warehouse operations. Coordinate with suppliers and forwarders to ensure timely and planned deliveries to both the warehouse and project sites. Update and maintain relevant data and documentation, ensuring accuracy and completeness. Provide assistance to the Logistics Manager and Administration/Secretarial teams, ensuring accountability for the safety, accuracy, and completeness of documents handled. Regularly update and manage the Delivery Control Schedule, which includes shipment details for the project. Maintain and file supplier import and export documentation, including Bayan, Bill of Entry, and related Excel data work. Ensure e-filing of all relevant project documentation within the network drive. Maintain ISO documentation and ensure compliance with established processes and procedures. Assist in preparing Key Performance Indicator (KPI) reports to track logistics performance. Process service provider invoices and coordinate bookings through the Global Business Services team for invoicing processing. Generate logistics-related reports to support decision-making. Ensure adherence to occupational health, safety, security, environmental, and quality standards as per company policies. Coordinate with customs brokers and clearance agents for smooth import/export processes. Monitor shipments in transit and proactively resolve delays or issues. Participate in logistics cost optimization initiatives. What do I need to qualify for the role? A bachelor’s degree in supply chain management, logistics, business administration, industrial engineering, or a related discipline. Minimum of 3 years experience in logistics, shipping, import/export, or freight forwarding within an industrial automation environment. Experience handling documentation and reporting in logistics. Familiarity with UAE customs procedures and clearance platforms such as Dubai Trade and Bayan. Knowledge of SABER certification requirements and responsibility for processing SASO/SABER applications for shipments to Saudi Arabia. Experience as a Logistics Coordinator in projects, serving as a key contact point – a plus. Strong organizational skills and attention to detail. Hands-on experience with SAP (ERP) is a plus. Proficiency in data entry and Microsoft Excel; MS Access skills are a plus. Good communication skills for stakeholder coordination. Ability to work independently with ownership mindset.
