We are seeking a highly skilled and organized Executive Assistant to provide administrative support to our team."

"

About the Role: "

The ideal candidate will have excellent communication and interpersonal skills, with the ability to work effectively in a fast-paced environment."

You will be responsible for providing administrative support to the team, including preparing presentations and sales reports, managing expense reports, leading and organizing team conference calls, and coordinating event planning and marketing activities."

Key Responsibilities: "

Act as the primary point of contact for the team, responding to requests for information and scheduling meetings as needed."

Prepare and manage expense reports, ensuring accurate and timely submission."

Lead and organize team conference calls, ensuring effective communication and note-taking."

Coordinate event planning and marketing activities, including booking travel arrangements and making reservations as needed."

Manage customer calls and direct to the proper sales team member, ensuring prompt and professional responses."

Draft letters and prepare documents, presentations, and reports that require an extended knowledge of office software."

Respond to requests for information, schedules meetings, prepare necessary documentation, and ensure follow-up actions are taken."

Maintain contacts with various direct reports to the Vice President, as well as members of senior management."

Monitor timesheets and holiday absences of the team, ensuring accurate records and reporting."

Requirements: "

Bachelor's degree or equivalent in Business Administration, Communications, or related field."

At least 5 years of experience in an administrative role, preferably in a similar industry."

Excellent communication and interpersonal skills, with the ability to work effectively in a fast-paced environment."

Proficient in Microsoft Office suite, including Word, Excel, Power Point, and Outlook."

Ability to work under pressure, handle multiple priorities, and meet deadlines."

Familiarity with SAP, Concur, and Salesforce.com is an asset."

Bilingual English and French language command is required; additional languages such as Arabic, Chinese, Russian, Spanish are considered an asset."
