Description
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role will involve providing crucial support to ensure the efficient operation of our maintenance division.Responsibilities: Assist in the preparation, review, and management of contracts related to maintenance projects.Maintain accurate and up-to-date records of contracts, including amendments, renewals, and terminations.Coordinate contract signings and ensure all necessary documentation is completed accurately.Communicate with clients, vendors, and internal stakeholders to gather information and resolve inquiries related to contracts.Assist in the creation and distribution of reports, presentations, and other documents as needed.Manage departmental correspondence, including emails, letters, and phone calls.Organize and maintain electronic and physical filing systems for contracts and related documents.Support the Manager and team members with various administrative tasks as required.Prepare the schedules for technicians and assist with overtime pay calculations.Requirements: Proven experience in an administrative role, preferably within an engineering/contracting/maintenance environment.Strong organizational skills with the ability to multitask and prioritize workload effectively.Excellent attention to detail and accuracy in all work performed.Expertise with G Suite (Docs, Sheets, Slides).Exceptional communication skills, both written and verbal.Ability to work independently and collaboratively in a fast-paced environment.Prior experience in the landscaping or construction industry is a very big plus.Associate's or Bachelor's degree in Business Administration, Legal Studies, or related field preferred.Join our dynamic team and play a vital role in supporting our success.
