Endoscopy Coordinator
Description
Works with both internal and external customers to ensure efficient and accurate patient entry into the hospital system, oversees physician schedules, and coordinates endoscopy procedures. Performs patient pre-registration and registration, insurance verification, and obtaining necessary authorizations. Educates patients on procedures and financial responsibilities, and ensures all required paperwork is completed and distributed correctly. Responsibilities Works with internal and external customers to efficiently and accurately enter patients into the hospital system. Monitors physician schedules and books patients accordingly. Arranges physician schedules based on booked Outpatient Department (OPD) and endoscopy appointments. Greets patients, pre-registers/registers them promptly and professionally, following departmental policies. Follows the National Patient Safety Goals regarding patient identification. Uses clear language, avoiding medical jargon when speaking to patients and families. Requests cost estimates and educates patients about potential financial responsibilities. Educates patients about procedure preparation and guides them through necessary steps for endoscopy. Books anesthesiologists and coordinates their visits before scheduled procedures. Follows up on approval statuses, insurance requests, and physician orders in the system. Acts as a mediator and coordinator among nurses, physicians, and endoscopy departments. Explains forms and secures patient signatures for required documents. Ensures all paperwork is sent to appropriate departments. Assists patients and families in reaching clinical areas. Uses age- and culture-appropriate communication techniques with patients and families. Recognizes and appropriately intervenes in potential age- or stress-related changes. Contacts physicians or departments to resolve questions. Performs sanction checks on physicians not in the doctor master list if necessary. Coordinates with the registration team to ensure proper patient registration. Clears endoscopy request orders from the queue list. Insurance Verifies and obtains insurance benefits, referrals, and pre-certifications, promptly after patient arrival or within one business day. Completes patient records per policies, including copying insurance cards and entering authorization details. Uses verification systems to confirm eligibility and upfront payment amounts. Communicates insurance benefits and coverage details to patients. Contacts insurance carriers within 24 hours to verify benefits and pre-certification requirements. Refers inpatient accounts to Care Coordination for clinical justification if needed. Maintains contact with physician offices to process insurance and pre-certifications. Monitors insurance coverage to ensure hospital capitations. Ensures patients have necessary forms for services and directs them as needed. Verifies that authorizations and referrals are secured when required. Customer Service and Problem Solving Maintains good public relations with patients, physicians, and colleagues using the AIDET model. Strives to satisfy patients, physicians, and colleagues at all times. Greets customers courteously, using names and a professional demeanor. Understands and addresses customer questions and concerns, seeking additional information when needed. Files documents appropriately. Identifies and resolves client problems, escalating unresolved issues promptly. Registers patients at correct locations and answers calls professionally. Coordinates scheduling of specialty equipment and vendors. Conducts pre-procedure calls to confirm outpatient appointments. Escalates late cancellations as appropriate. Clerical Duties Uses Electronic Medical Record (EMR) systems to facilitate communication. Communicates patient transfers effectively. Answers phones professionally, stating full name and department. Accurately takes and delivers messages. Supports the development of new staff members. Demonstrates flexibility and teamwork in daily activities. Qualifications PROFESSIONAL EXPERIENCE: At least two (2) years of experience in a private hospital preferred. Knowledge of medical terminologies. Experience with customer service principles. Familiarity with insurance eligibility portal systems. Proficiency in Microsoft Office applications. Fluency in spoken and written English. #J-18808-Ljbffr
