Position Title: Personal Assistant to CEO Department: Executive Office Location: Dubai Employment Type: Full Time Reports To: CEO Role Overview: The Personal Assistant (PA) to the CEO will provide high-level administrative support to ensure the smooth functioning of the CEO's office. The ideal candidate will be proactive, highly organized, and capable of managing multiple tasks efficiently while maintaining strict confidentiality. Key Responsibilities: Administrative Support:

  1. Manage the CEO's calendar, schedule meetings, and coordinate appointments.
  2. Screen and prioritize emails, calls, and correspondence.
  3. Prepare reports, presentations, and documentation for internal and external use.
Meeting Coordination:
  1. Organize and manage meetings, including preparing agendas, taking minutes, and following up on action items.
  2. Coordinate with internal and external stakeholders to ensure timely communication.
Travel Management:
  1. Arrange domestic and international travel, including flights, accommodations, and itineraries.
  2. Handle visa applications and other travel-related documentation.
Project Assistance:
  1. Support the CEO with strategic projects and ensure timely execution of deliverables.
  2. Conduct research and provide insights on relevant topics or industry trends.
Personal Tasks:
  1. Handle personal errands, including managing schedules, events, and occasional household tasks.
  2. Liaise with vendors, service providers, and other personal contacts as needed.
Confidentiality and Discretion:
  1. Maintain absolute confidentiality regarding sensitive business and personal matters.
  2. Act as a gatekeeper, ensuring the CEO's time is utilized efficiently.
Office Management:
  1. Collaborate with other administrative staff to streamline office operations.
  2. Order office supplies and manage vendor relationships for the CEO's office.
Key Qualifications:
  1. Education: Bachelor's degree in business administration, Communications, or a related field preferred.
  2. Experience:
  3. 3+ years of experience in a similar role supporting C-suite executives.
  4. Proven track record in managing complex schedules and high-pressure situations.
  5. Skills:
  6. Exceptional organizational and multitasking abilities.
  7. Strong written and verbal communication skills.
  8. Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
  9. Ability to work independently and handle a fast-paced environment.
  10. Attributes:
  11. High level of discretion and professionalism.
  12. Proactive and solution-oriented mindset.
  13. Strong interpersonal skills with the ability to interact with diverse groups of people.
