- Consistently offer professional, friendly and engaging service.
- Assist in the day-to-day operations of the Talent & Culture department.
- Maintain flow of documents & ensure they are as per Hotel policies.
- Prioritize all telephone calls and in-person visitors, scheduling appointments as required.
- Provide all office administration duties such as written correspondence, mail, photocopying and ordering office supplies.
- Maintain a confidential filing system for correspondence, policies, standards, regulations and various matters related to the office.
- Maintain lockers inventory and conduct spot checks to ensure high standards of hygiene at all times. Be in charge of the overall Back of House areas including cafeteria, First Aid room, corridors, washrooms, lounges and ensure they are spotless and tidy at all times. Assist and lead the quarterly pest control in the lockers, with the support of the Cluster Hygiene Manager.
- Assist colleagues in exit checklist, clearance, exit interview and resignation process.
- Ensure timely posting of pictures from colleague events on the appropriate communication channels, such as Facebook, WhatsApp, LinkedIn, Back of House Area.
- Process letter requests from colleagues (Salary, Employment, Experience Certificates).
- File all colleague documents on a regular basis and maintain up-to-date colleague files.
- Process new colleagues, changes of status and separations in Oasys.
- Update the monthly attendance for T&C in Oasys.
- Prepare and send the Birthday Calendar to all colleagues via email.
- Assist and lead the T&C activities and events throughout the year, such as but not limited to, Townhall, sports events, cafeteria events, CSR activities, accommodation gatherings, national days.
- Assist our colleagues with any requests they might have such as bank issues, cafeteria, insurances, and display empathy and flexibility even outside of work hours when necessary.
- Handle all decorations related to T&C, in the office, cafeteria, Back of House for all events and celebrations.
- Liaise with our agents to book colleagues' vacation tickets.
- In charge of the Bienvenue Cards order and issuance.
- Organize any colleague recognition, such as weddings, birthdays, new born.
- In charge of the daily operations in the cafeteria, which include liaising with the catering company to ensure consistency of the meals in the cafeteria, organize regular audits and surveys, and lead the cafeteria committee to collect feedback.
- Add new joiners to group insurance (Health Insurance, Workmen's Compensation and Life insurance).
- Delete leavers from group insurances.
- Submit debit/credit notes from insurance to Finance trackers to be maintained and follow up to be done.
- Submit/follow-up of medical claims with insurance broker.
- Process Workmen's Compensation claims for all accidents that occur at work.
- Schedule Training Room when required by other departments.
- Support the L&D section with trackers, posters, and recognition programs when necessary.
- Assist the Cluster T&C Team when necessary for events, orders, gatherings, etc.
- Perform other T&C tasks as requested by the T&C Manager and the Director of T&C.
- Previous administration or Talent & Culture experience required.
- Computer literate in Microsoft Windows applications required, knowledge of Oasys is a plus.
- University/College degree in a related discipline is an asset.
- Excellent communication and organizational skills.
- Strong interpersonal and problem-solving abilities, with a flexible attitude.
- Strong work ethics and confidentiality.
- Highly responsible, trustworthy, and reliable.
