Job Purpose Facilitates and coordinates all administrative and supportive functions to ensure the smooth running of the office of Head of Inclusion. Acts as an ambassador to the school and performs in an efficient, professional, and confidential manner all job duties. Job Scope Responsible for managing all administrative and supportive functions of the office of inclusion. Interfaces with DAA faculty, staff, students, parents, colleagues, members of the School Support Centre and the general School Community. Key Accountabilities

  1. Models and encourages a culture of kindness in support of the GEMS/DAA core values and upholds the mission and ethos of the school.
  2. Acts as an ambassador for the school and performs all job duties in an efficient, professional, and confidential manner.
  3. Takes initiative to improve systems and processes to aid in efficiency and effectiveness.
  4. Assists in the preparation of agendas and meeting materials.
  5. Maintains high-quality communication from and within the school office.
  6. Liaises with tact and diplomacy with school staff, students, parents, and visitors.
  7. Responsible for managing all secretarial functions of the office of inclusion.
  8. Performs a wide variety of general secretarial duties including the maintenance of accurate and detailed records, databases, and filing systems.
  9. Compiles information from various sources to generate reports; prepares, collates, and distributes weekly, monthly, and annual reports as required.
  10. Reviews and updates all documentation, calendars, and all school-related activities.
  11. Communicates information to faculty, staff, parents, and students.
  12. Schedules and coordinates meetings with teachers, parents, DAA staff, outside agencies, etc.
  13. Maintains office supply records; orders, stores, and issues supplies and materials pertinent to the function to which assigned.
  14. Ensures the GEMS/DAA policies, procedures, and codes of conduct are followed at all times.
  15. Initiates effort and energy beyond the typical workday, where the tasks require additional commitment.
  16. Supports in organizing and monitoring services provided by outside agencies.
  17. Provides observations and support in various settings in order to help students meet their goals.
  18. Coordinates special arrangements for tests and external examinations.
  19. Maintains existing resources and explores opportunities to develop or incorporate new resources from the wide range available.
  20. Attends staff meetings, records meeting minutes, and serves on committees as required.
  21. Organizes student files for Inclusion.
  22. Responds to telephone calls and enquiries courteously and directs calls to appropriate school personnel.
  23. Helps organize professional development and training sessions for inclusion staff.
  24. Assumes responsibility for his/her own professional development; keeps current with literature, new research findings, and improved techniques in inclusion; attends appropriate professional conferences.
  25. Works in tandem with all other secretaries and divisional faculty creating a positive team ethos.
  26. Assists with parent issues, trying best to resolve them in a timely and professional manner.
  27. Provides information regarding school programs, events, functions, activities, examinations, and timings.
  28. Helps prepare and submit required reports to agencies such as KHDA, CIS, GEMS, NEASC, etc.
  29. Assists in budget preparation and monitoring of expenditures for the Inclusion Department.
  30. Performs other duties as requested by direct & dotted reporting line managers/supervisors.
