Service Delivery CoordinatorAbu Dhabi, United Arab Emirates | Posted on 09/26/2023To assist the company operations by coordinating and controlling the movements of all offshore personnel to onshore, offshore, or international locations. This includes handling all travel arrangements, including pre-travel tests or other legal requirements, investigating and arranging appropriate travel flights, and making reservations at hotels or other forms of accommodation. Additionally, the role involves coordinating the tracking of all UAE operating crews and providing reports to finance for client invoices and staff payroll. You will also work with travel agencies to review all bookings for accuracy, cost-effectiveness, and travel adherence.KEY RESPONSIBILITIES:Co-ordinate the movements of UAE operations personnel, ensuring that all offshore and onshore projects are staffed according to current and future operations in line with contract requirements.Maintain and continually update the forward look ahead rota document for all UAE operational sites.Align with Operations Controllers regarding the provision of personnel requirements for projects to ensure uninterrupted operations by monitoring personnel utilization levels and escalating accordingly to reassure the correct level of resource is maintained within field population.Plan crew changes in advance, addressing any anticipated manpower shortages and liaising with the Operations Controller to reorganize and adequately provide manpower on all assigned project sites.Submit weekly & monthly reports on headcount analysis vs contractual requirements, highlighting any shortfalls and recommendations for quick resolution.Requirements• Minimum of 5-6 years previous work experience in a similar or administration role and 1-2 years previous work experience in the oil and gas sector.• Demonstrate proven experience in coordinating & monitoring administration processes, organizing own work effectively, and setting priorities in order to meet competing deadlines.• Previous experience in offshore projects including knowledge of terminology used.• Excellent skills in all Microsoft Office packages (i.e., Excel, Word, PowerPoint).• Minimum of 1-2 years' work experience in customer service.• Excellent written and verbal communication skills in English.• Ensures that information is shared with relevant stakeholders.• Customer-centric attitude.• Adaptable, flexible, and positive attitude towards change.• Good team player with the ability to also work on own initiative.• Dedicated to promoting a positive image of the company.• Highly organized and able to manage competing demands.• Ability to work with less supervision and track multiple processes.• Exceptional organizational skills and ability to liaise with all management level members and external parties.Qualification(s) & Training• Diploma or bachelor's degree in any discipline or relevant discipline.• Certification in administration related courses is preferred.
