Travel is part of this position, but the frequency may vary based on client, team, and individual circumstances.What You ll DoWe require a Business Support Assistant with strong customer facing and administrative skills. There will be extensive interaction with both internal and external clients so first-class interpersonal skills, high standards of presentation and a good level of articulation will be needed for the role.Provide excellent services for the Riyadh office, making internal and external guests welcomeEnsure attentive call management in both English and ArabicAuthorize guest s access to the officeSet up temporary wi-fi access for visitors and visiting colleagues and ICs, adhering to agreed procedures at all timesAccept deliveries and notify appropriate staff in a timely mannerManage Meeting Room bookingsEscalate complex bookings or any issues or difficult queries to the Office ManagerUse the AlixPartners internal systems to process expenses and time entryWork with the Office Manager to ensure all supplier invoices are paid in a timely fashionFile invoices, both hard and soft copy in appropriate directoriesManagement of office supplies and catering productsLiaise with team to provide proactive support to them as required. This may include booking meeting rooms and general administration tasks, such as printing, scanning, photocopying, binding and filing.Internal translation of Arabic documentsForm completion in ArabicSupport the Office Manager on internal meetings and events in RiyadhEnter client contacts onto Radius databaseComplex diary management including organising internal and external meetings and managing any logistics that may be required PMD Support - Taking responsibility for all aspects of arranging travel and accommodation including coordinating visas, booking flights, hotel accommodation, car transfers and taxis, producing travel packs and itinerariesIf requested by consultants, liaising with Accounts on the timing of client invoices, checking draft engagement letters, adapting invoices to client specification, chasing and updating the relevant consultants on their aged debtorsAd-hoc client/project work as required, which could typically include obtaining specific client/prospect meetings, consultant specific work related to their individual role and billable work including business development and marketing tasksThis description is not designed to encompass a comprehensive listing of required activities, duties or responsibilities.What You ll NeedBackground and qualificationsFluency in English and ArabicProfessional services experienceMicrosoft Office masteryExcellent customer service skillsClear and professional telephone mannerCall management experience Personal competenciesWell-presented with a calm and professional demeanourStrong work ethic, excellent time management and organizational skillsProactive and diplomatic in dealing with day to day problems with a positive and constructive attitude to customer serviceAble to work effectively with people at all levels and under pressureAble to multi task and prioritise competing demandsFlexible approach to work with willingness to work overtime and flexible shifts as requiredStrong team playerMust become familiar with, and promote and abide by, our Core Values as defined by the AlixPartners Code of Conduct and foster an inclusive environment with people at all levels of an organizationYou will have a work permit for Saudi or be able to obtain such (administrative support will be provided by AlixPartners to obtain permits);AlixPartners is an equal opportunity employer.
