Job Description: Administration and Operational Manager Company: Young Futures Ltd. Location: Egypt Reports to: COO Role Overview: The Administration and Operational Manager at Young Futures Ltd. plays a critical role in ensuring the smooth execution of daily operations and administrative tasks across all locations. This role involves coordinating with multiple departments, managing resources, streamlining processes, and ensuring timely communication with stakeholders to meet organizational goals. Key Responsibilities: 1. Administrative Management:- Oversee and manage day-to-day administrative operations across the organization.
- Ensure timely and accurate documentation, filing, and reporting for all departments.
- Develop and enforce organizational policies, procedures, and protocols.
- Maintain schedules, calendars, and records for programs, activities, and staff.
- Supervise the procurement of office supplies, materials, and equipment.
- Coordinate and monitor operations across multiple locations, ensuring adherence to organizational standards.
- Manage logistical arrangements, including transportation for staff and equipment.
- Plan, allocate, and oversee the movement of resources and staff for seamless operations.
- Collaborate with department heads to improve operational efficiency and resolve bottlenecks.
- Supervise and guide administrative and operational staff, ensuring clarity of roles and responsibilities.
- Conduct performance evaluations, provide feedback, and support team development.
- Foster a positive and productive work environment that aligns with the company’s values.
- Serve as the primary point of contact between departments, external vendors, and stakeholders.
- Ensure clear communication and timely updates between the COO, team members, and partners.
- Respond to inquiries and provide support to all departments as needed.
- Prepare regular operational and administrative reports for the COO.
- Analyze operational performance and recommend improvements for efficiency.
- Track budgets, expenses, and resource allocation to maintain cost-effective operations.
- Office Hours: 12 PM to 6 PM.
- Remote Hours: Flexible, as needed for operational demands.
- May require occasional travel to locations for oversight.
Job Requirements
Qualifications and Skills:- Education: Bachelor’s degree in Business Administration, Operations Management, or a related field.
- Experience: Minimum 3-5 years in a similar role, with experience in managing operations across multiple locations.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficient in Microsoft Office Suite and project management tools (e.g., Trello, Slack).
- Problem-solving mindset with attention to detail.
- Ability to work under pressure and meet deadlines.
- Timely execution of operations across all locations.
- Adherence to budget and resource allocation.
- Accuracy and timeliness of administrative reports.
- Staff performance and satisfaction.
