Key Responsibilities- Work closely with exhibition curators, organizers, and stakeholders to understand event objectives.
- Develop detailed operational plans, including timelines, budgets, and resource allocation.
- Manage logistics such as venue selection, space planning, transportation, and setup/takedown schedules.
- Ensure compliance with all health, safety, and accessibility regulations.
- Welcome confirmed clients via email and introduce them to the team.
- Collect and organize speaker presentations and materials as per the agenda.
- Maintain an up-to-date database of event attendees.
- Identify, assess, and onboard vendors for services like exhibition construction, AV equipment, lighting, and transport.
- Negotiate contracts and manage vendor relationships to ensure high-quality and cost-effective services.
- Coordinate with vendors to ensure timely delivery, installation, and maintenance of exhibition materials.
- Maintain accurate records of exhibition-related assets, including artwork, signage, display materials, and technology.
- Liaise with clients to customize booth construction and manage all additional orders.
- Oversee shipping, storage, and insurance of assets, ensuring safe handling and protection.
- Conduct routine audits to monitor asset condition, plan maintenance, and schedule replacements when needed.
- Develop and manage exhibition budgets, track expenses, and ensure adherence to financial guidelines.
- Provide cost estimates, forecasts, and financial reports for informed decision-making.
- Identify opportunities to optimize costs without compromising on quality.
- Work alongside the marketing team to enhance the visitor experience.
- Address visitor inquiries and concerns in a professional and timely manner.
- Implement crowd management strategies and oversee queue handling during peak hours.
- Coordinate flights, accommodation, and all related bookings.
