Role Description: We are seeking a highly organized and detail-oriented Bids Administrator to join our team. The ideal candidate will have 2-3 years of experience in bid administration, preferably within the facilities management or construction industry. This role involves coordinating and managing the entire bidding process, including handling Pre-Qualification Questionnaires (PQQ), portal management, and ensuring accurate and timely submissions for all bids and proposals. Key Responsibilities:

  1. Assist in the preparation and submission of bids for new projects, ensuring adherence to client requirements.
  2. Manage and coordinate the Pre-Qualification Questionnaire (PQQ) process, ensuring all required documentation and information are accurately completed and submitted.
  3. Handle the registration and management of the company's profile on relevant procurement portals and ensure compliance with all portal requirements.
  4. Oversee the submission process via procurement portals, ensuring all bids are uploaded accurately and within set deadlines.
  5. Maintain an organized database of all bid submissions, contracts, PQQs, and relevant documents.
  6. Coordinate with internal departments (HR, Finance, etc.) to gather necessary information for bids.
  7. Track and monitor the status of submitted bids, PQQs, and other proposals, following up with clients and procurement portals, as necessary.
  8. Assist in preparing bid presentation materials and reports.
  9. Ensure compliance with company policies, industry regulations, and portal-specific requirements during the bid process.
  10. Track the status of bids (won and lost) and provide regular feedback for process improvements.
  11. Maintain accurate records for all submissions and assist in generating reports as required by management.
Requirements:
  1. Preferably 2-3 years of experience in bid administration, procurement, admin or in a related role.
  2. Familiarity with Pre-Qualification Questionnaires (PQQ), bid management portals, and registration processes.
  3. Strong attention to detail and organizational skills.
  4. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  5. Strong communication and interpersonal skills.
  6. Ability to work collaboratively in a team environment and liaise with various departments.
  7. Previous experience in facilities management, construction, or a related field is a plus.
Preferred Qualifications:
  1. Bachelor's Degree or Diploma in Business Administration, Engineering, or a related field.
