We are currently recruiting for a Administrator - 6 Months Contract Role for one of our clients to be based out of their Dubai office. Job Purpose:

  • Manage, coordinate, and streamline administrative and operational workflows and procedures across the company's diverse Community and FM portfolio. Supervise allocated properties.
Job Responsibilities:
  • Manage filing systems (hard and soft copy) for all Community and FM-related portfolio documentation.
  • Maintain an overall contract register with contract copies across the Community and FM portfolio, including duration and expiry dates.
  • Custodian of statutory compliance trackers across Community and FM portfolio, including certificates of compliance and mandatory testing.
  • Custodian and contact point for utility billing, including DEWA and DCD.
  • Monitor company's FM and Community email accounts managed by 3rd parties. Escalate any irregularities.
  • Supervise all 3rd party service provider CAFM systems daily/monthly reporting. Notify stakeholders of non-conformances and KPI breaches. Escalate when required.
  • Supervise the drafting and release of Non-Conformance Reports (NCRs) to service providers across the company's Community and FM portfolio. Monitor and review responses and closure.
  • Coordinate the timely submission of all service provider monthly reports in compliance with contracts. Escalate any breaches.
  • Coordinate Enterprise Resource Planning (ERP) software systems for department, including Purchase Requests (PRs), Purchase Orders (POs), Goods Received Notes (GRNs), and invoicing settlement.
  • Coordinate submission of internal accrual accounting monthly report for FM department.
  • Coordinate annual budget preparations and monitoring forecast in line with expectations for community and FM portfolio.
  • Lead department coordination for internal auditing.
  • General office administration tasks including meeting coordination and scheduling.
  • Supervise allocated Community and FM properties.
Qualifications: Preferred Educational Qualifications and Professional Certifications Experience:
  • 5 years of relevant property experience in preferably both FM and Community operations.
