The Tata Group operates in more than 100 countries across six continents, with the mission 'To improve the quality of life of the communities we serve globally, through long term stakeholder value creation based on leadership with Trust.’ Job Title : Site Admin Manager (On Site) Job Location : Jagirod, Assam Job Overview: The Admin Manager is responsible for the overall administrative functions of the organization, ensuring smooth day-to-day operations, managing office staff, and coordinating between departments. The role requires managing office resources, handling communications, and implementing policies that support the organization’s efficiency and compliance. Key Responsibilities: 1. Office Management:

  • Oversee the day-to-day administrative functions of the office, ensuring smooth operations.
  • Supervise office staff, including administrative assistants, receptionists, and clerical personnel.
  • Maintain office supplies inventory and ensure that all equipment is in proper working condition.
  • Ensure that office spaces are clean, organized, and conducive to productivity.
2. Policy Implementation:
  • Develop and enforce administrative policies and procedures in compliance with company standards.
  • Ensure all employees are informed of and adhere to the organization's administrative policies.
  • Review and update policies as needed to improve operational efficiency.
3. Resource Allocation:
  • Manage office budgets and ensure cost-effective use of resources.
  • Coordinate with the finance department to handle invoices, payments, and budget tracking for administrative expenses.
  • Source and negotiate with vendors for office supplies, services, and equipment.
4. Communication & Coordination:
  • Act as the point of contact between senior management and office staff, ensuring smooth internal communication.
  • Ensure that all company communications, such as memos, announcements, and notices, are distributed in a timely manner.
  • Facilitate coordination between various departments for administrative support, meetings, and other operational needs.
5. Document Management:
  • Oversee document control processes, ensuring proper filing, storage, and retrieval of important company documents.
  • Maintain accurate records, including employee files, contracts, and office-related documentation.
  • Ensure compliance with data protection regulations and confidentiality policies.
6. Facility Management:
  • Manage the maintenance and security of office facilities, coordinating with external vendors and contractors.
  • Ensure compliance with health, safety, and environmental regulations within the office environment.
  • Plan and manage office renovations, relocations, or space adjustments as needed.
7. Event and Meeting Coordination:
  • Organize company events, meetings, and training sessions, ensuring all logistical arrangements are in place.
  • Prepare agendas, take meeting minutes, and distribute follow-up actions as required.
8. Compliance & Legal:
  • Ensure that administrative processes adhere to all relevant laws and regulations.
  • Work with legal or HR departments to manage compliance issues related to employee administration, contracts, and corporate documentation.
Qualifications: • Any Graduate • 0-3 years of experience as an Admin Manager or similar role. • Strong understanding of office management processes and procedures. • Excellent leadership and organizational skills. Desired Skills: • Proficiency in office management software (e.g., Microsoft Office, ERP systems). • Strong problem-solving and decision-making abilities. • Excellent communication skills, both verbal and written. • Ability to manage multiple tasks and prioritize effectively.
