About the Role:PHD EMEA are looking for an Office and Operations Manager to be at the forefront of PHD, based at our offices in Bankside. This role would suit a real people person, operations extraordinaire with a solution for everything. You will be the main point of contact for the agency, dealing with people across all levels of seniority, including some very high-profile clients and our Leadership Team. As you will be the 'face' of the agency you'll be our brand personified - a representation and reflection of PHD and our culture.What we'd like from you:Welcoming Clients to meet their agency hosts when required.Be the agency contact point for any internal comms ensuring this is distributed out to the agency - such as building news, bicycle storage, fire drills and general updates.Ensure that visitors are made aware of any health and safety requirements across the duration of their visit including the fire evacuation process.Daily checks on the office space, meeting rooms (check all tech is working), print pods and the kitchenette. Ensuring spaces are kept tidy.Maintain office supplies inventory by checking stock and ordering new supplies as needed, be it paper, toners, teas or coffees.To help organise people / parcel journeys and monitor progress of taxis and couriers keep an accurate record of all journeys.Managing the request of new lockers and building passes, deactivation of passes and bike storage access.Working alongside the People Team in the running of new joiner inductions - carrying out the office tour upon new starter arrival, H&S induction, taking of a new starter photo.Point person for larger IT requests, meeting support/set up, kit for agency staff, new laptop requests.Liaise with building services for any facilities issues.Continuously working to improve the office space, including ordering of new furniture, soft furnishings and plants to keep our space fresh and inviting.Assist with managing the meeting room booking system for internal/external meetings, helping to organise catering as required with our internal facilities team.Be responsible for the Health and Safety of the office - attending any H&S update meetings, ensuring we have enough first aiders/fire wardens for the floor, and everyone has been through the appropriate training and that everyone has the emergency contact cards.Assisting in the management and execution of internal agency events and parties and supporting in the logistical needs of any pitches we may be running.Manage office budget and expenses, including processing invoices and tracking expenditures.About the Agency:PHD is a growth-focused media agency driven by innovation and creativity.Founded in London in 1990, we were the first media agency to offer strategic and creative planning at a time when the industry was about buying cheaply and quickly.Our founders saw a bright future where smart thinking and clever planning could help brands grow faster than their competitors.Over the many years that have followed, we have continued to build on this defining ethic - with our evolution shaped by a continual investment in thought leadership.
