Position Overview:We are seeking a skilled and experienced Assistant Manager- Travel Operations with expertise in MICE (Meetings, Incentives, Conferences, and events) to join our dynamic team.As a Assistant Manager- Travel Operations, you will be responsible for planning, organizing, and executing MICE events for our clients. Your role will involve managing all aspects of travel operations, including client coordination, event logistics, vendor management, contracting for hotels and flights. The ideal candidate will have a strong background in the travel industry, excellent organizational and leadership skills, and a passion for delivering exceptional event experiences. Responsibilities:MICE Travel Planning:Collaborate with clients to understand their requirements and objectives for MICE travel. Develop detailed travel plans, including flight options, MICE package and Itineraries along with budgets, timelines, and deliverables. Coordinate with internal teams and external vendors to ensure smooth execution of every MICE projects.Client Coordination:Act as the primary point of contact for clients throughout the travel planning process. Understand client preferences and provide expert guidance on flight options, venue selection, accommodation options, transportation arrangements, and other event-related services. Maintain regular communication to update clients on progress and address any concerns.Event Logistics:Oversee all logistical aspects of MICE travel, including flight contracting, visa coordination, catering, transportation, and accommodation. Coordinate with suppliers, negotiate contracts, and manage all operational requirements to ensure seamless event execution. Conduct site inspections and troubleshoot any issues that may arise during events.Vendor Management:Source and evaluate vendors for various event and travel related services, such as airlines, hotels, DMCs, transportation providers, and technology solutions. Establish and maintain strong relationships with vendors to ensure high-quality service delivery. Negotiate contracts, monitor performance, and manage vendor payments.Budget Management:Develop and manage budgets, ensuring optimal utilization of resources while delivering exceptional experiences. Monitor expenses, review invoices, and reconcile financial records. Provide regular budget updates to clients and management.Risk Assessment and Mitigation:Identify potential risks and challenges associated with MICE groups. Develop contingency plans and implement risk mitigation strategies to ensure the smooth operation of events. Anticipate and resolve any unforeseen issues that may arise during events. Requirements:Bachelor's degree in travel management, hospitality management, event management, or a related field.Proven experience of 2-5 years in managing MICE travel.Familiarity with Global Distribution Systems (GDS) and proficiency in utilizing GDS platforms for travel bookings and reservations.Experience in airline contracting and negotiation is preferred.Strong knowledge of event planning, logistics, and vendor management.Excellent organizational and multitasking skills with the ability to prioritize and meet deadlines.Exceptional communication and interpersonal skills to effectively collaborate with clients, team members, and vendors.Proficiency in budget management and financial analysis.Detail-oriented with a focus on delivering exceptional customer experiences.Familiarity with event management software and tools.Flexibility to work irregular hours and travel to event locations as required.Join our team and take on this exciting opportunity to create memorable MICE experiences for our clients. If you have the passion, skills, and experience, we would love to hear from you.
