Job Summary We are looking for a skilled and organised Project Management Office (PMO) Specialist with strong background in project management, analysis and stakeholder management for a global MNC. In this role, you will be responsible for providing support, coordination, and oversight to ensure the successful execution of projects. Key Responsibilities
- Governance oversight on portfolio/projects
- Project Oversight and Decision-Making:
- Roles and Responsibilities: Clearly defined roles for project stakeholders, including project sponsors, project managers, and team members.
- Collaboration: Facilitate effective communication and collaboration among project stakeholders, ensuring alignment and understanding of project objectives.
- Decision-Making Authority: Establishing who has the authority to make decisions at different levels of the project.
- Agile Governance: Maintaining Agile Governance for teams.Project Planning and Execution:
- Project Charters: Developing project charters that define the project's objectives, scope, and key stakeholders.
- Project Plans: Ensuring that projects have well-defined plans, timelines, and milestones.
- Issues Resolution: Collaborate with stakeholders to identify and promptly resolve resource conflicts and bottlenecks.
- Risk Management:
- Risk Identification and Mitigation: Establishing processes for identifying and mitigating risks throughout the project lifecycle.
- Risk Reporting: Regular reporting on project risks and the status of mitigation efforts.
- Communication and Reporting:
- Communication Plans: Outlining how project information will be communicated to stakeholders.
- Project Reporting: Maintain project dashboards, reports, and metrics to track project performance and risks and provide project status update to management.
- Management Reporting: Prepare Business Case review, Project Readiness Review, management monthly portfolio performance reporting (MPR).
- Resource Management:
- Resource Allocation: Ensuring that resources are allocated appropriately to support project objectives.
- Capacity Planning: Assessing the organization's capacity to take on and manage multiple projects.
- Financial Management:
- Budgeting and Cost Control: Establishing budgeting processes and controls to manage project costs.
- Financial Reporting: Providing transparent financial reporting on project expenditures.
- Project Closure & Continuous Improvement:
- Closure Criteria: Define criteria for project closure and ensure documentation of lessons learned.
- Post-Implementation Reviews: Conduct reviews after project completion to evaluate outcomes and identify improvements.
- Continuous Improvement: Establish feedback loops as mechanisms for capturing insights and lessons learned from each project.
- Established a proven track record with 3-7 years of experience in Project Management Office (PMO) with hands on experience with project/portfolio governance encompassing project planning, risk management, reporting, resource management, financial management, and continuous improvement.
- Contributed end-to-end support to the implementation of large-scaled projects.
- Possesses a thorough understanding of the complete project management lifecycle.
- Demonstrate a strong knowledge in Agile methodologies.
- SAFe certified, and practical experience in implementing the SAFe framework in at least one project is highly beneficial.
- Experience with agile transformation is considered advantageous.
- Strong communication and presentation skills with a high level of confidence.
- Friendly demeanour with proficient interpersonal skills, especially in managing relationships with senior stakeholders.
