MELROSE INVESTMENTS INC. is seeking candidates for a GENERAL OFFICE ADMINISTRATOR position.Since 1973, Melrose Investments Inc. has always offered all encompassing real estate services. Our properties include custom-built offices, industrial and retail spaces, and state-of-the-art high-rises.The GENERAL OFFICE ADMINISTRATOR provides strong administrative support to the overall office to help the Company run efficiently. This position will be responsible for coordinating internal and external communications, general office administrative functions, maintaining and producing various reports and processing invoices for payment. This position also works closely with the Office Manager in maintaining the company's records management system, corporate cellular account, fleet of multi-function units and the company's health & safety programs/protocols. In the absence of the Receptionist, this position will assume all front desk duties and responsibilities (i.e. telephone duties, mail distribution, etc.).The main DUTIES & RESPONSIBILITIES carried out by the General Office Administrator will include (but not limited to):Maintain the company's Corporate Cellular accounts which includes acting as a liaison with service provider, setting up new users, troubleshooting, and maintaining inventory of all cellular hardware and accessoriesEnsure the maintenance of the company's records management system for hard copy paper files which involves processing filing requests, maintaining records management database, and overseeing to ensure all staff are adhering to the company's records management processes and practicesCoordinate the set up of health and safety training sessions, ensuring that all staff certifications are up to date based on the requirements of their positionAssist with the set up, maintenance and updating of company's health and safety policiesWork closely with Office Manager in maintaining the company's fleet of multifunction unitsProvide general office administrative support with respect to report preparation, mailouts, package assembly and paperwork distributionAssist with organizing team-building initiatives (ex. end of month staff lunch, corporate events, etc.)Act as back-up to Front Desk Receptionist with respect to telephone duties, office supplies, mail distribution and other administrative tasksCandidates applying to this position will possess the following SKILLS & QUALIFICATIONS:Minimum of three (3) years' experience working in a fast-paced office environmentMinimum of three (3) years of general office administrative experience requiredExcellent computer software skills (ex. MS Excel, Outlook, Word, Access, PowerPoint)Energetic team player who works well under pressureExcellent time management and organizational abilityDetail oriented individual who adheres to aggressive timelinesPositive, friendly demeanour and professional appearanceExcellent written, oral and interpersonal skillsExperience working on a multi-line phone systemPrevious construction or development experience an asset*Regular Working Hours for this role are Monday-Friday 8:00am-5:00pm* Construction
