As a Purchasing Assistant, you will be at the heart of our operations, ensuring that we have the right products and services to meet the needs of both our guests and staff. Key Responsibilities: Operational Support & Procurement:

  1. Assist in managing purchasing systems to optimize the supply chain process and ensure cost-effective procurement.
  2. Collaborate with department heads to translate operational forecasts into material requirements and determine stock levels.
  3. Support negotiations for service contracts and recommend reliable sources of supply.
  4. Process purchase requests and obtain competitive quotations to ensure the best value for the hotel.
  5. Place approved orders and ensure that products are assigned to the appropriate departments.
Inventory & Stock Control:
  1. Maintain proper inventory records and oversee storage for perpetual inventory items.
  2. Ensure products are protected from waste, spoilage, or theft, and that physical stock takes are completed on schedule.
  3. Collaborate with the Executive Chef, F&B Manager, and Accountant for market surveys and inventory assessments.
Cost-Effectiveness & Compliance:
  1. Implement corporate policies to maximize cost-effectiveness and comply with safety and local regulations.
  2. Keep up to date with industry trends and market innovations to recommend value opportunities.
  3. Ensure accurate billing and product allocation to departments based on purchase orders and received goods.
Qualifications & Experience: Education:
  1. Bachelor’s degree in Materials, Purchasing Management, or a related field.
Experience:
  1. Minimum 2 years of related experience in purchasing or supply chain management, or an equivalent combination of education and work experience.
Skills & Abilities:
  1. Proficiency in Microsoft Office and purchasing software.
  2. Strong organizational, problem-solving, and communication skills.
  3. Ability to interact effectively with customers, employees, and third parties.
  4. Excellent written and verbal communication skills.
