Job description About Us: Inspired HR is supporting a client in Calgary in hiring for a Receptionist position. Join our dynamic and fast-paced real estate office, where professionalism meets collaboration. As the first point of contact for our office, the Receptionist plays a vital role in setting the tone for our clients and team members alike. Key Responsibilities: Front Desk Management:

  • Greet clients, visitors, and team members with a warm and professional demeanor.
  • Answer and direct phone calls promptly and accurately.
  • Manage incoming and outgoing mail and packages.
Administrative Support:
  • Schedule and coordinate meetings and appointments.
  • Draft and proofread correspondence and emails with impeccable attention to detail.
  • Maintain and update basic spreadsheets and office documents.
  • Keep the reception area and office spaces tidy and organized.
Team Collaboration:
  • Assist team members with administrative tasks and project coordination.
  • Support management with executive assistant tasks as required, such as booking travel or preparing meeting materials.
Client Interaction:
  • Provide information and assistance to clients with a friendly and outgoing personality.
  • Ensure an excellent client experience by maintaining a professional, approachable attitude.
Requirements:
  • Prompt Start Times: Punctuality is essential to this role; a consistent, reliable start time is expected.
  • Professional Attire: Business casual dress code is required to maintain a polished and professional appearance.
  • Exceptional Communication Skills: Proficient in English, with outstanding written and verbal skills.
  • Personality: Outgoing, positive, and approachable, with a natural ability to make clients and team members feel welcome.
  • Attention to Detail: Accuracy is critical in all aspects of the role, from scheduling to document preparation.
  • Team Player: Comfortable working in a collaborative team environment, sharing responsibilities, and contributing to a supportive culture.
  • Technical Skills:
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook).
  • Comfortable learning and using industry-specific software.
  • Organizational Skills: Ability to multitask and prioritize in a busy office environment.
