Job Title: Administrative Assistant (Interior Architecture Tender Specialist) Job Summary: We are seeking a detail-oriented and organized Administrative Assistant with a strong background in interior architecture tender processes. The ideal candidate will provide administrative support to the design and project management teams, ensuring smooth operations and successful tender submissions. This role requires a blend of administrative expertise and familiarity with the intricacies of interior architecture projects and tender documentation. Key Responsibilities:
- Tender Coordination:
- Manage and coordinate the tender process from start to finish, ensuring all deadlines are met.
- Prepare and compile tender documents, including project specifications, drawings, and legal contracts.
- Liaise with suppliers, subcontractors, and consultants to gather necessary information and quotes.
- Administrative Support:
- Provide administrative support to the design and project management teams.
- Maintain organized filing systems for tender documents, project correspondence, and other related paperwork.
- Schedule meetings, prepare agendas, and take minutes for tender-related discussions.
- Communication:
- Act as the primary point of contact for tender inquiries, both internally and externally.
- Communicate effectively with clients, consultants, and team members to ensure a clear understanding of tender requirements.
- Document Control:
- Ensure accuracy and completeness of all tender documents and submissions.
- Maintain up-to-date records of tender submissions and follow-up actions.
- Project Support:
- Assist in the preparation of project reports, presentations, and other documentation as needed.
- Support project teams during the execution phase, including procurement and coordination of materials.
- Proven experience of 2-3 years as an administrative assistant, preferably within the interior architecture or construction industry.
- Familiarity with tender processes and documentation in interior architecture.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software.
- Attention to detail and the ability to handle multiple tasks simultaneously.
- A degree or diploma in business administration, architecture, interior design, or a related field is preferred.
- Knowledge of interior design principles and terminology.
- Understanding of legal and contractual aspects of tender processes.
