The Role : Collaborate with clients to understand their event objectives, requirements, and desired outcomes. Create and present project proposals, encompassing pitching, planning, and execution phases. Prepare and take ownership of accurate project budgets based on scope of work and resource requirements. Develop, oversee and proactively track and manage progress against project milestone calendar. Take full ownership of end-to-end project planning, execution, and management, ensuring seamless coordination and flawless delivery of events. Collaborate closely with various internal teams, including (but not limited to) marketing, creative, and operations. Lead event team members and volunteers, providing ongoing guidance and support throughout all phases of planning and execution. Source and negotiate with vendors, suppliers and contractors to secure necessary services and products for events and maintain proactive communication to ensure all contractual obligations are met. Oversee event logistics, including venue selection, accommodation arrangements, transportation, catering, and audio-visual requirements. Ensure strict adherence to all legal, safety, and regulatory requirements relevant to event management. Stay informed about industry-specific regulations and guidelines, ensuring events are conducted in full compliance with applicable laws. Deliver consistent and comprehensive project updates to various stakeholders. Keep all relevant parties informed about milestones, accomplishments, and potential challenges to foster a collaborative work environment. Monitor and evaluate event performance and conduct thorough project performance analysis to identify areas for improvement. Conduct post-event debriefs and prepare detailed event reports for clients and management, providing insights to enhance future event execution. Manage all other project-related matters, as they arise and other ad-hoc matters as assigned. Preferred Attributes: Minimum 5 years of proven experience in event management, preferably in an agency environment. Genuine passion for event planning and management, driven by a desire to create exceptional and memorable experiences for clients and attendees. Demonstrated ability to manage multiple events simultaneously while meeting deadlines and maintaining high-quality standards. Excellent verbal and written communication skills Ability to think creatively and innovate, bringing fresh ideas and concepts to enhance event experiences. Strong analytical and problem-solving abilities to address challenges and make quick decisions during event planning and execution. Meticulous attention to detail in all aspects of event planning and execution, ensuring no detail goes unnoticed. Proficiency in constructing and managing project timelines.
