This role is primarily focused on operational coordination and administrative support, ensuring the smooth functioning of various business units.If you're an organized, hands-on professional with a strong ability to manage operational tasks and coordinate across departments, this is an excellent opportunity to be part of a dynamic and fast-paced environment.Key Responsibilities:Operational Support: Collaborate with different departments to understand their operational needs and ensure smooth delivery of tools, supplies, and services. Assist in monitoring and managing day-to-day business operations, ensuring efficiency and timely execution of tasks. Manage and coordinate procurement activities—from sourcing vendors to purchasing equipment and materials required for projects.IT Coordination: Act as a liaison between the company and IT service providers to ensure maintenance and upgrades of the IT infrastructure. Support in setting up and troubleshooting IT systems, including coordinating network setup, software licenses, and IT tools required for the team.Vendor and Supplier Management: Manage relationships with external vendors and service providers, including negotiating contracts, securing necessary equipment, and ensuring quality and timely deliveries. Oversee maintenance contracts and service agreements for office facilities and infrastructure, ensuring smooth operations.Logistics and Fleet Management: Oversee logistics related to event setup, office supplies, and delivery of materials across business units. Support in managing transportation needs, including company vehicles and external logistics partners.Administrative Coordination: Provide administrative support to management, including handling communication with vendors, coordinating meetings, preparing reports, and assisting in project documentation. Ensure compliance with company policies and procedures, assisting in streamlining and improving operational processes.Facilities and Infrastructure Management: Assist with the maintenance of office facilities, ensuring that workspaces are fully functional and equipped with the necessary tools and resources. Coordinate with facilities management for repairs, upgrades, or office improvements.Cross-functional Support: Work closely with the events, media, and production teams to ensure all operational aspects align with project timelines and requirements. Assist in special projects or initiatives across various departments as required, ensuring smooth execution and providing operational support.Key Qualifications:Experience: 2-4 years of experience in an operational or administrative role, preferably within industries like media, events, or advertising.Skills: Strong organizational skills with an ability to handle multiple tasks and projects simultaneously. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant tools. Basic understanding of IT systems and infrastructure; ability to coordinate with technical service providers. Excellent communication and interpersonal skills, with the ability to interact effectively with internal teams and external vendors. Detail-oriented, proactive, and capable of taking initiative. Flexible and adaptable, able to work in a fast-paced, evolving environment.
