What you'll be doing
- Manage areas such as stockrooms or corporate libraries
- Assist in confidential correspondence, reports, and other complex documents
- Review incoming calls and memos, submissions, and reports and forward them to the proper parties
- Maintain the filing system of master archives
- Assist the Administrative Officers and Manager in various projects
- Provide support to project leaders and teams
- Conduct research and prepare statistical reports, documents and presentations
- Ensure the periodic replenishment of all stationary and groceries
- Ensure proper tracking of requisitions, contracts, and orders
- Participate in relevant projects and community activities as and when needed
- Coordinate travel schedules including hotel booking, flight bookings and visa arrangements for staff and visitors
- Manage the entire process from organizing airline, hotel and visa requirements where ever applicable to assembling documentation for the Accounting Department
- Assist clients in preparing required documents and forms for travel, such as visas
- Study maps, directories, routes, and rate tables to determine travel route and cost and availability of reservations and accommodations
- Calculate estimated travel costs and provides suggestions for the most economical travel
- Work in close coordination for airline booking with the implant travel agents from the contracted agency
- Suggest and plan itinerary for travel and accommodations for business travellers, using knowledge of routes, types of carriers, and regulations etc.
- Contact hotel, resort, and travel operators by e-mail, fax or telephone to obtain rates and other related information to ensure updated information is kept for easy access
- Source quotations and book seminars/conferences
- Strong Arabic and English communication skills
- Minimum one year experience in office administration
- Basic knowledge of Microsoft software
