Tenders & Quotations Coordinator - (340)About Zahrawi GroupZahrawi Group is a leading company in the GCC Healthcare Industry with its presence in UAE, KSA, Qatar, Bahrain, & Oman markets. The company supplies and distributes high-quality products and services to Hospitals, Clinics, Laboratories, & Analytical Industries.Job BriefThe incumbent helps the sales representatives improve their productivity by supporting them with quotations and tenders. They also ensure that there is always a supply of inventory available for the sales team and accordingly order additional when needed.ACCOUNTABILITIES:TENDERS & QUOTATIONS:Responsible for preparing proposals, quotations, tenders, and contract drafting for sales representatives of all divisions (LAB, Medical, Surgical) and meeting deadlines & requirements of the inquiries.Sourcing inquiries for (Gov*PVT) through their procurement channels (Portals, email (RFQ), and announcements (newspaper & other sources) and developing new business leads through various sources daily and weekly.Quote and submit online quotations and hard copy submissions after getting the approval from the sales team.Commitment to deadlines and overall closing dates with high attention to detail.Ability to understand the wide range of products and recognize sales opportunities due to submitting a response against all possible quotes.BUSINESS NETWORKFollow up with customers to know the progress/status of the quotations and tenders.Build and maintain good relationships with all buyers to provide Zahrawi with the support needed before and after submitting responses to follow up on the status of tenders/responses, contracts/or LPO and support after-sales services.Follow up on the status of participated inquiries, technical/or document requirements for evaluation and after-sales support functions.Report all new procedures of tendering for all our governmental and private clients to line managers and business units' managers to arrange/prepare the needed process/solution and adapt to the changes in the nature of the work.Support and coordinate with the Sales team to arrange for pricing, technical specifications, and alignment with the end user.Review all tender documents, general and special terms and conditions of the tenders to align with their requirements technically and administratively.DOCUMENTATIONOptimize the tender process; record participated tenders and keep a real-time tracker up to date, documentation of all participated tenders as per QMS standards of Zahrawi.Document tenders, quotations, contracts, and all other documentation related to inquiries as per all commercial and technical details.Ensure the bid bond, performance bond, and bank guarantees are arranged as per the requirements of the customer.Manage appropriate records of Bank Guarantees for new and existing contracts/or awarded inquiries as per the client requirements and review issued guarantees to confirm alignment with client requirements & correction of the guarantee details.Prepare letters of warranty, undertakings, offer validity extensions, etc.Sourcing technical/support details requested by the client with a very limited time (shelf life, GTIN, Barcode, etc.) from the sales/procurement team or from the principal company website/FDA certificates and other global associations.REQUIREMENTSCandidates need to be Arabic speakers due to the nature of the jobCandidate should be willing to move to Company VisaCandidate should be based in UAEExperience: 2 - 3 years of experienceJob Specific Skills: Tenders, Quotations, Supply Chain, Bid-bonds, Performance-bonds.Copyright Al-Zahrawi Medical Supplies Est 2019 All rights reserved
