Job Description

This position is a multifaceted role, serving as the executive assistant to the owner of two distinct businesses - a spa located in Canada (working remotely) and a culture and heritage consultancy in Saudi Arabia.  The position will involve assisting the owner in daily tasks, personal travel plans and accommodation,  preparing daily sales and performance reports, souring products and services providers, which could relate to either or both companies:
  • Prepare daily and monthly reports on sales, employee performance and social media performance
  • Manage information flow in a timely and accurate manner
  • Manage some aspects of executives’ calendars and set up meetings
  • Make travel and accommodation arrangements
  • Track daily expenses and prepare weekly, monthly or quarterly reports
  • Check payroll hours of employees against booking calendar
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings
  • Organize and maintain the filing system
  • Assist in sourcing craft-based manufacturers, compiling a database and assisting in product sourcing
  • Assist in coordinating a material library collection through correspondence with supporting entities 
Both businesses are relatively new to the market, and as they grow, this position will be divided into several role, at which point the successful applicant may choose their desired position.

Job Requirements

  • Work experience as an Executive Assistant, Personal Assistant or similar role
  • Previous experience in either the wellness industry or craft sector 
  • Outstanding organizational and time management skills
  • Familiarity with booking management systems
  • Excellent verbal and written communications skills in both English and Arabic
  • Discretion and confidentiality
